Reporting to the Director(s) of the Harvard University Herbaria (HUH) and the Executive Director of Administration in OEB. This position coordinates a broad range of diverse administrative and organizational operations, and provides significant administrative support for the Director.

Serving as the Director’s liaison, this position will interact effectively with University officials, faculty, academic scholars, administrators, staff, and other external constituents, while maintaining a high level of organization and professionalism.

He/she will assist the Director and the Executive Director with strategic priorities, and prioritize and monitor tasks related to the execution and implementation of a broad agenda. Will assume primary responsibility for select projects and initiatives as directed. Will also attend meetings with, and sometimes on behalf, of the Director.

He/she will be responsible for the creation, implementation, delivery and monitoring of projects that span the HUH, and support the achievement of the Director’s objectives. He/she will specifically define the requirements of a given project and ensure adequate resources. This position will directly manage the day-to-day oversight of multiple projects, developing content for project meetings, evaluating progress, and revising project plans throughout the lifecycle. He/she will be responsible for identifying next steps and potential issues, including all necessary follow-up on key project tasks.

He/she will oversee administrative activities on behalf of the Director and the HUH, including: scheduling and preparation briefing materials, communication and correspondence, scheduling and agendas, convening meetings, supervision and preparation of briefing materials, and providing de-briefing and follow-up support. This position will conduct research and analysis, and prepare presentations, memos and reports as needed. He/she will coordinate administrative operations (HR, finance, IT, building operations) with OEB Administration, and will assist with budget preparation.

He/she will serve as a key resource and trouble-shooter for issues that rise throughout the HUH.

This position will organize and manage multiple projects with competing priorities. He/she needs demonstrated ability to develop productive relationships across diverse constituencies and multiple levels of the organization. Experience within academia preferred. Excellent team player who is a creative problem solver, self-starter with excellent written and oral communications skills and presentation skills.

Bachelor’s degree required. Five or more years of related experience in an academic or museum setting required. Education plus relevant program management experience may count towards years of experience.
