Coordinator for Administration/Education Department

General Description:
The Coordinator for Administration supports the administrative responsibilities of the Administration division within Education and oversees group fulfillment for all guided group tours at the Met including school groups, adults groups, VIP, etc. This entails assigning guides to some 3,000 events per year and coordinating tour scheduling with 400+ volunteer and contractual educators. This position is also responsible for identifying strategies to build efficiencies, and improve processes and communications.

Primary Responsibilities and Duties:
Receives and fulfills reservations for all guided tours booked though Visitor Services; matching educator with group based on the expertise of the educator and the topic requested by the group.
Communicates with key members of staff and the Volunteer Organization to ensure accuracy of group fulfillment, refining and improving processes and workflow as needed.
Maintains volunteer, intern, and contractual educator records and database.
Maintains program statistics and run reports.
Supports broader administrative projects or initiatives for division and department.
Supports projects related to the administrative functionality of the Volunteer Organization.

Experience and Skills:

Demonstrated ability to multitask, manage deadlines, and handle time-sensitive materials
Strong organizational skills with the ability to multitask, manage deadlines, and handle time-sensitive materials
Experience in working with and maintaining database software preferred

Knowledge and Education:
Bachelors degree required
Masters degree in Arts Administration, Nonprofit Administration or Business preferred
3+ years’ work experience in in art/non-profit administration preferred
Full fluency in MS Windows 7, 2010 Microsoft Office Suite (Word, Excel, PowerPoint, Access, Project)

Knowledge of ticketing, event management, and project management systems preferred
