The Solomon R. Guggenheim Museum is seeking a Public Programs Coordinator. As a member of the Education department, the Public Programs Coordinator is responsible for providing administrative assistance in the preparation, facilitation and follow-up of public programs. Additional responsibilities include facilitating specialty public tours, support for the weekly film series, coordination of program evaluation, and constituent data tracking. The Public Programs Coordinator works closely with the Manager of Public Programs and the Public Programs Associates and will also work with the Director, Public Programs.

Supervisory Responsibilities:
May supervise interns.

Key Responsibilities:
• Provide research support for changing roster of exhibition related programming including lecturers, artists, and other visual and performing arts practitioners

• Ensure all relevant internal and external forms and paperwork are completed and submitted in advance of each program

• Research international, domestic and local travel as well as hotel bookings for lecturers, when necessary.

• Process contracts/agreements/invoices for all lectures, panels, screening, performances, and programs; follow up with finance and legal departments as needed

• Draft printed programs that are distributed at select events; coordinate review process with Editorial and Curatorial departments as well as outside collaborators

• Be present at evening programs and manage the intern, handouts, and complimentary ticket pick-up

• Create thank you letters for all program participants and collaborators

• Book photographer for specific events, coordinate seasonal contracts, and maintain image files for future use.

• Maintain Raiser’s Edge constituent and event records to track program participants and complimentary program tickets; create Net Community pages for program registration; run basic queries and export various constituent lists.

• Draft reminder e-mails sent the day before programs take place; work with Marketing colleagues to ensure the delivery of the reminder email to all ticket purchasers and program registrants.

• Work with Box Office colleagues to track comps and ticket sales for the weekly box office report

• Conduct registration for workshops/courses/continuing education seminars; send confirmations, interact with students, and coordinate distribution of printed materials when necessary

• Monitor the Public Programs email account and reply to questions/requests/solicitations

• Distribute publicity materials internally and externally, printed matter, web and e-mails; draft program specific marketing copy primarily for weekly film series; keep the Public Programs page on the staff intranet up to date

• Produce handouts for Film Program

• Create, execute, compile program evaluation questions, results and overall data

• Order books and other materials for the department, as necessary.

• Process dub requests; assist in archive inventory and future production needs

• Maintain Public Programs files, both hardcopy and electronic.

• Maintain and update the lecture calendar and Sackler calendar, and distribute amongst Education Dept. and other staff whenever appropriate.

Qualifications and Requirements:
• Bachelor’s degree in art history/museum studies/arts administration or related field
• One to two years’ experience in program administration in a museum, cultural or educational setting.
• Excellent organizational, written, verbal, interpersonal and administrative skills.
• Familiarity with modern and contemporary art history
• Ability to work independently and as part of a team
• Proficiency with Microsoft Office programs, Windows 7 and Mac operating systems
• Knowledge with Raiser’s Edge or other constituent management systems helpful
• Experience with In Design and Photoshop desirable
• Foreign Language desirable
