Summary: The position of Assistant to the Deputy Directors and General Counsel supports the Deputy Director for Administration, Deputy Director for Institutional Advancement, and the General Counsel of the Brooklyn Museum.

Requirements: The ideal candidate must have strong communication and excellent writing skills; a pleasant and effective telephone and personal manner; good organizational skills; the ability to shift priorities in what can be a fast-paced office; and proficiency in Windows; Microsoft Word, Excel, and PowerPoint; and Adobe Acrobat. Having at least three years of continuous experience in an executive office will help ensure a candidate’s success. We are looking for a candidate who seeks a long-term position and enjoys the overview and administrative perspective of the Director’s Office.

Responsibilities: The individual in this position serves as assistant to the Deputy Directors for Administration and Institutional Advancement and the Museum’s General Counsel, and will work in the Director’s Office with the Director, Executive Administrator, and other office staff on a broad range of administrative duties including, but not limited to, handling correspondence (mail and telephone), heavy scheduling, serving as greeter/receptionist and gatekeeper, interacting with department supervisors and coordinating operational schedules, filing, working on expense reports, reconciling credit cards, ordering supplies, scanning documents, managing contacts, and acting as personal assistant. Additional projects may be assigned by the Deputy Directors and/or General Counsel. This position will also engage in some writing and editing; communicating with individuals with a broad range of personalities at all levels within the Museum as well as our Trustees and outside guests; assisting with contracts, wills, estates, and other legal matters; coordinating Museum-wide information dissemination; researching legal and other matters, including archival research; inputting data into spreadsheets; and preparing presentation materials. This position requires considerable use of diplomacy, discretion, confidentiality, and judgment as well as maturity and a calm, cheerful demeanor.

Reports to: Deputy Directors

Starting date: Immediate

Work schedule: Monday–Friday, 9 a.m.–5 p.m., 35 hours per week

Salary: Commensurate with experience
