The Collections Manager/Registrar directs and oversees the principle care, maintenance, housing, and access for collections and collections storage of the Morikami Museum. S/he manages manual and computerized data, forms, and legal documents related to gifts, loans, conservation, in-house, and traveling exhibitions, and insurance and shipping. The Collections Manager/Registrar implements and manages the Museum’s IPM (integrated pest management) program, the gallery maintenance and cleaning program, and climate monitoring. The ideal candidate will oversee the development and revision of related collection management policies and guidelines and train staff appropriately. S/he supervises collections photography and provides rights and reproduction services. The Collections Manager/Registrar reports to the Chief Curator and works closely with Curatorial staff. S/he will supervise part-time staff and volunteers in collections care. Must be available evenings and weekends as required.

Responsibilities and Duties:

  • Responsible for developing and implementing policies that relate to the care of the collection.
  • Develop and implement policies, procedures, and long-range planning for collection storage.
  • Oversee development and maintenance of a regular Inventory Program for collections.
  • Oversee and implement routine Cleaning Program for collection storage areas and galleries, IPM (integrated pest management) program, and climate monitor/tracking.
  • Manage all collection records including object history files, rights and reproductions, and cataloging of new acquisitions.
  • Oversee incoming and outgoing loans, maintaining all related records and coordinating logistics for object transportation regionally, nationally, and internationally.
  • Responsible for ensuring the museum’s compliance with AAM best practices and other state and federal laws regarding the collection and incoming loans.
  • Maintain complete and accurate electronic and hard copies of all object records; responsible for all digital and paper documentation related to the permanent collection in close collaboration with the museum’s Curators.
  • Catalogue new acquisitions in collaboration with the Museum’s Curators.
  • Maintain the Collection Management Database (PastPerfect) and data input management including digital images.
  • Secure images and non-exclusive licenses for permanent collection works and new acquisitions.
  • Process rights and reproductions requests.
  • Coordinate the museum’s fine art insurance coverage and risk management.
  • Manage correspondence and logistics associated with loans to the museum including loan agreements, loan records, insurance, shipments, and condition reports.
  • Participate in the Collection Committee and Exhibition Planning Committee.
  • Participate in regular departmental staff meetings as well as other interdepartmental meetings as directed.
  • Participate in grant writing projects as necessary.
  • Supervise and train Collections Assistant, interns, and volunteers who are assigned collections management/registration duties.

Required Job Qualifications:

  • Knowledge of accepted registration, collection management, art handling, variable media and preventative conservation practices
  • Working knowledge of PastPerfect museum database and other computer programs
  • Strong organizational and interpersonal skills
  • Excellent writing, planning, research, communication, organizational, project management, and public-speaking skills and experience.
  • Detail oriented and skilled in negotiation and problem-solving
  • Knowledge of safety hazards and necessary safety precautions to establish a safe work environment for self and others
  • Ability to work flexible hours when required
  • Skill with tools and knowledge of building materials
  • Ability to erect storage furniture and equipment
  • Ability to lift objects weighing 50lbs or more
  • Ability to work independently or with a team
  • Must be willing to travel, serve as courier, and work off-site

Required Education and Experience:

  • B.A. or M.A. (preferred) in Museum Studies, Japanese Art History, Cultural Studies, or Library and Information Studies; A degree in Business/Legal Studies a plus
  • Minimum of five years working as a Collections Manager/Registrar in a museum setting with culturally-based collections
  • Experience in initiating and implementing successful collection-based moves, re-housing projects and related initiatives
  • Supervisory experience
  • Fluency in reading and writing Japanese preferred
