POSITION SUMMARY

The Development Systems Analyst maintains the informational systems for the Advancement department of the Resource and Enterprise Center including the Raiser’s Edge donor database and the Center’s policies and procedures manual. This position also supports the individual fundraising program.

ESSENTIAL DUTIES AND RESPONSIBILITIES

INSTITUTIONAL RESPONSIBILITIES

  • Support the Museum’s mission, values, vision, and core commitment to the visitor experience, community engagement, and institutional relevancy for the future

POSITION DUTIES AND RESPONSIBILITIES

Database Administration

  • Maintain database manuals and business rules
  • Provide training and ongoing support to advancement team in order to facilitate adherence to database protocols and business rules
  • Serve as liaison with fundraising database vendor and manage updates and upgrades as needed
  • Coordinate with Controller to set up fundraising campaigns in the database
  • Set up and maintain the appeals, acknowledgment templates, queries, and reports that are regularly used by the Center fundraisers
  • Prepare and distribute solicitation, gift entry, pledge, and contributed income reports

Fundraising Support

  • Process all gifts and pledges from individual donors – including trustee, individual restricted and unrestricted, planned, endowment, and bequest gifts
  • Prepare acknowledgment letters for all individual gifts of $1,250+
  • Coordinate production and mailing of renewal and solicitation letters for $1,250+ individual donors, including trustee, Donor Forum, and restricted projects
  • Assist with donor portfolio management for individual and planned gifts
  • Research individual prospects, maintain confidential donor profiles and donor database records, and produce research reports for individual fundraisers as directed
  • Prepare planned giving, annual endowment, and additional reports to support fundraising efforts as needed
  • Maintain paper and electronic files for all individual gifts of $1,250+

General Administration

  • Maintain Advancement department inventory of stationary and event supplies
  • Coordinate and lead interns for the Resource and Enterprise Center as needed
  • Support REC Coordinator with donor events and Gala event by helping with list management, invitation mailings, registration, set up and check in
  • Act as the representative for the Resource and Enterprise Center on the Tiger Team, which handles technology support for the department
  • Reconcile donor database records with financial accounting records on a monthly basis, provide annual and cash flow reports as needed by the Finance department, and work with Finance to support annual audit
  • Prepare list and coordinate production for annual Donor Wall update

Job Requirements

EDUCATION AND EXPERIENCE

A combination of experience and education that demonstrates possession of the necessary knowledge and abilities for this position is required as noted:

  • High School diploma, GED or equivalent required
  • B.A. degree in relevant field preferred
  • 2-4 years of related experience required

ADDITIONAL QUALIFICATIONS

  • English, fluent in both spoken and written form
  • Understanding of fundraising principles
  • MS Office (Word, Excel), Raiser’s Edge

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

While performing the duties of this position, the employee is frequently exposed to the following:
