Associate Registrar, Loans and Exhibitions

Princeton University Art Museum is seeking an Associate Registrar to support the registrar department with exhibition and loans activity. The Associate Registrar will have sole responsibility for two to three assigned exhibitions per calendar year, as well as for outgoing domestic loans and incoming loans unrelated to the exhibition program. This is a full-time position.

The Associate Registrar will report to the Chief Registrar and will provide general assistance and support to the registrar’s office. The Associate Registrar will work closely with Museum staff, especially registrars, curators, and preparators, as well as lenders, borrowers, fine art service providers, and other vendors.

RESPONSIBILITIES:

OUTGOING DOMESTIC LOANS (approximately 50-100 + objects per year)
The Associate Registrar will generate loan agreements, condition reports, insurance certificates, receipts, and other documents; maintain complete and accurate records in the Museum’s electronic collections management system (The Museum System®); approve (in consultation with the Registrar and other pertinent staff) and coordinate all packing, courier, and transportation arrangements; and coordinate any necessary contract conservation assessment and treatment.

EXHIBITIONS:
The upcoming schedule consists of exhibitions that are generated by the Museum curators, University faculty, and touring exhibitions organized by other institutions. The Associate Registrar will be solely responsible for assigned exhibitions from initial approval through implementation and file archiving: the position will generate loan agreements, condition reports, insurance certificates, receipts, and other documents; maintain complete and accurate records in the Museum’s electronic collections management system (The Museum System®); coordinate all crating, transportation (incoming, return, and inter-venue), courier, and other logistical arrangements; create and oversee registrarial portion of budget; coordinate contract personnel; and make arrangements for insurance or U.S. Government Indemnity and/or Immunity from Judicial Seizure.

INCOMING LOANS (approximately 20?30 objects per year)
The position will generate loan agreements, condition reports, insurance certificates, receipts, and other documents; maintain complete and accurate records in the Museum’s electronic collections management system (The Museum System®); coordinate all packing, transportation, courier, and other logistical arrangements; and initiate and coordinate systematic long-term loan renewals.

Job Requirements

ESSENTIAL QUALIFICATIONS:

– B.A. required; M.A. in Art History, Museum Studies or related field strongly preferred
– Minimum of three years verifiable experience in museum administration and registration
– Strong computer skills are essential: expert facility with MS Office, including Word, Excel, and Outlook. One year experience with collections management software required; experience with The Museum System (TMS) preferred. Knowledge of Crystal Reports is highly desirable.
– Facility with digital photography and digital file management is required. Knowledge of Photo Shop and Digital Asset Management is preferred.
– Demonstrated knowledge of art handling standards and practices in a museum, gallery, or special collections setting.
– Thorough knowledge of current museum-quality art transportation and packing standards.
– Excellent organizational, interpersonal, and communication skills.
– Meticulous work habits and attention to detail; consistency in procedures and quality of effort in all areas of work.
– High level of discretion related to protecting confidential information.
– Demonstrated ability to prioritize tasks and to meet competing deadlines in a fast-paced, deadline-driven environment.
