The Registrarial Assistant is responsible for providing departmental support in all areas of collection management and exhibition registration, with a particular focus on the Museum’s collections database, TMS. The incumbent serves as core team member in the management of TMS, often working with students and interns on database-related projects and assisting other staff members with the database. The incumbent is responsible for smaller temporary and traveling exhibitions, including processing loan forms; making shipping, crating, and courier arrangements; scheduling; budgeting; condition reporting; supervising installations and deinstallations; and traveling with exhibitions as needed. The Registrarial Assistant assists with collection-related projects, including processing and scheduling outgoing loans and yearly inventories, and condition reporting. The incumbent assists with taking, downloading, and organizing digital images for exhibition-related projects; assists with the monthly condition reviews of the Franklin D. Murphy sculpture garden on UCLA’s campus; and provides general Registration departmental support. The Registrarial Assistant works under the direct supervision of the Director, Registration and Collections Management, and under the general supervision of the Senior Associate Registrar.

Job Requirements

Requirements: Bachelor’s degree in art history, studio art, arts administration, or related field, or equivalent experience; working knowledge of the history of graphic arts and general art history; familiarity with art terminology and documentation standards; knowledge of standard museum cataloguing systems; proficiency with Microsoft Office Suite; physical ability to the perform all core functions and duties. Prior experience in museum registration and/or collections management, knowledge of registrarial and collections management policies in accordance with AAM standards, and experience with TMS collections database preferred.
