Department Coordinator — Art of Europe

Description:
Under the direction of the Chair, Art of Europe, the Department Coordinator provides essential administrative support for the department and performs diverse duties to support the department in general while handling sensitive issues and confidential matters in a professional manner.

The Department Coordinator serves as the primary internal and external contact for the department and coordinates general communications; paperwork including loans and acquisitions, budgeting, and payments; office and supply management; viewer mail responses; and is a liaison with various Museum departments including Facilities, IT, Registrar, Human Resources, Protective Services, Rights and Licensing, Restaurant Associates, External Relations, Visitor Services, Volunteers, Education, Conservation and Collections Management, and Exhibitions. Additional responsibilities include: maintain department calendar and department files, both electronically and in hard copy; provide administrative support for the chair and senior curators as needed; manage department interns; and receive and escort visitors on request. Work closely with colleagues on planning and running the department’s friends group and Visiting Committee meetings, in particular managing invitations, responses, and logistics; assist with Collections Committee paperwork for acquisitions, deaccessions, and loans, working closely with curatorial colleagues and Manager of Collections Documentation.

Qualifications:
Bachelor’s degree required, Master’s degree preferred (preferred field of study: Art History, specifically European art) along with one to two years of administrative experience. Additional qualifications include: excellent organizational skills and detail orientation; excellent follow-through skills including ability to prioritize and sequence tasks in order to meet firm deadlines; ability to work independently and multitask in a fast-paced environment without compromising quality; strong computer skills, including aptitude with databases and image management software, plus significant experience with all Microsoft Office programs; ability to interact efficiently with all levels within the organization as well as with external contacts (for which good telephone skills are important); solid quantitative skills; ability to use discretion when working with sensitive information. Familiarity with one or more European languages a plus.
