Description
The primary areas of responsibility of the School and Education Programs Associate include serving as the initial public contact for the department, managing school and adult group tour requests, booking, and invoicing for school programs, maintaining department records and data, and providing other staff support as assigned. The Associate will report primarily to the Manager of School Programs and on certain projects and responsibilities also report to the Director of the Education department. Responsibilities • Coordinating the Museum’s programming with Pre k-12 schools and QM School Partnerships • Handle registrations and scheduling of all school and group tours and follow up with teachers and parent coordinators, as needed • Prepare and manage studio workshop spaces in preparation for in-house school visits • Enter and manage tour appointments into the museum’s shared event calendar • Invoice schools and track and process payments • Assign tours and workshops to contractual educators; guide museum experiences and lead workshops as needed • Assist in updating pre/post visit materials for school tours and manage accompanying records and databases • Provide data and other information for funding proposals and reports • Manage mailings, eblasts and sections of museum blog • Administer and coordinate school events and communicate with other museum departments to ensure the smooth operation of QM school tours and programs • Serve as primary public contact for the education department • Provide administrative support to the full department staff • Assist in updating and management of education sections of the website • Fulfill supply orders based on education staff requests • Oversee and maintain department equipment • Participate in all department and other staff meetings • Perform other duties as assigned in support of the museum Qualifications We seek a reliable, organized, and detail-oriented individual who is passionate about museums, arts education and K-12 schools for this position. The ideal candidate will demonstrate the following: • The successful candidate will have flexibility and reliability to multi-task and meet multiple deadlines with a strong ability to prioritize • Excellent and error-free written and oral communication skills • Extremely strong computer skills including expertise in Microsoft Office Suite • A high degree of computer proficiency and database management, • Attention to detail, and familiar and comfort with professional office procedures and protocol • The individual must possess strong interpersonal skills and be diplomatic in working with diverse constituencies • Ability to work well with museum staff, teaching artists, diverse K-12 schools, and the general public to promote the philosophy and goals of the Education Department and The Queens Museum as a whole • Experience with Photoshop/In Design and CounterPoint (or any point-of-sales ticketing software) is also a plus • Bilingual Spanish is a major plus Requirements for the position • Bachelor’s degree in arts, culture or education field • One year of administrative experience in an educational or cultural nonprofit setting • This position requires work Monday to Friday 8:00AM to 4:00PM with some late, early or weekend hours depending on the time of year • The compensation package includes comprehensive generous benefits • This position is full-time and exempt
