The Exhibitions and Public Programs Coordinator is responsible for day-to-day operations of the SMFA Exhibitions and Public Programs office.

Primary Responsibilities:
• Handle general inquiries and correspondence with faculty, students and artists.
• Process all office related purchases and other payments.
• Coordinate travel and hotel arrangements for Exhibitions staff and visiting artists.
• Update information phone line and calendars.
• Maintain office and procedural manuals.
• Maintain/procure adequate inventories of office supplies.
• Oversee Exhibitions and Public Programs mailing and e-mail list.
• Coordinate all major mailings.
• Update Office of Communication on all exhibitions and public programs.
• Develop and gather timely content for SMFA social media efforts.
• Schedule spaces for lectures and events.
• Coordinate the Visiting Artists lecture series.
• Assist during events as needed.
• Schedule Area Shows in the Main Building (the BAG, Weems Center, Project Space and Downstairs Gallery).
• Coordinate logistics for all opening receptions.
• Design and oversee production of all wall titles, wall texts, and object labels for all exhibitions including the SMFA Art Sale.
• Oversee production timelines of printed materials, when applicable.
• Coordinate all aspects of the student gallery assistants program (recruit, hire, train and supervise schedule).
• Oversee attendance tracking for exhibitions and public events.
• Coordinate submissions, review and return of submissions/applications for the Traveling Fellows Awards and other Awards.
• Payments to recipients of the Traveling Fellowship Awards, Boit Awards, Dana Pond Awards, Will and Elena Barnet Award, Eugene Ward, and the Sumner Cooper Award.
• Assist the Development department with specific assignments and logistics pertaining to the Art Sale; Art Sale drop-offs and pick-ups; maintaining inventory system (including tracking, location and rotation of submissions); label production; working with artists and buyers to troubleshoot any issues that arise.

This is a term position, with full-time benefits, through June 30, 2016.

Qualifications:
• BA or BFA degree required.
• 3 plus years of experience.
• Strong passion for the arts and visual culture, contemporary art knowledge required.
• Thrives in a high energy environment and able to meet multiple deadlines.
• Strong writing and verbal skills; interpersonal and friendly.
• Ability to work within a diversified community with flexibility and a spirit of cooperation.
• Demonstrated aptitude for event production; highly organized and detail oriented.
• Proficient with Mac platform using Microsoft Office Suite, Adobe Creative Suite, social media applications and digital transfer websites such as Dropbox and Wetransfer.
• Required to occasionally work evenings and weekends.
