SUMMARY STATEMENT:
Proactively provides general administrative and coordination assistance to Human Resources’ Volunteer Services and Internship Programs, ensuring the smooth functioning of the office and serving as a positive, welcoming Museum representative for all staff, volunteers and interns. Utilizes all available resources (i.e., variety of databases), to support volunteer and intern recruitment efforts, ensuring the Museum has a diverse pool of candidates. Coordinates and support special projects and events, ensuring all volunteers are fully engaged in the life of the Museum.

RESPONSIBILITIES:

  • Order and maintain Volunteer Coffee Corner serving ~40 volunteers daily
  • Assist in the recruitment and tracking ~125 youth volunteers/year
  • Assist in the recruitment and tracking of ~140 interns/year
  • Enter/maintain ~volunteer database records 150/year Secure volunteers for ~ special events 80/year

WORK SCHEDULE: This position is full-time, 32 hours/week, with schedule flexibility within the 8am – 5pm timeframe, but must include Tuesdays and Saturdays.

REPORTS TO: Manager, Human Resources & Program Manager, Volunteer Services

Qualifications:
MINIMUM QUALIFICATIONS:

  • Post HS course work, technical degree, associate’s degree or business certificate preferred.
  • Six (6) months or more of administrative experience.
  • Demonstrated customer service skills
  • Demonstrated attention to detail
  • Demonstrated organizational skills
  • Demonstrated computer expertise with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, etc.
  • Ability to organize and analyze data into various reports
  • Ability to effectively set and monitor person work time, prioritizing multiple project with simultaneous deadlines.
  • Ability to work day and evening of July 4th during the “Let’s Celebrate the 4th” event
  • Experience working with confidential information.
  • Strong communication skills – both written and oral.

STARTING SALARY: Non-Exempt (Hourly). Commensurate with experience.
