We have an exciting full-time and benefits eligible opportunity for a new Human Resources Coordinator to join our Human Resources Department to serve as the primary contact in within our team providing timely, accurate, and proactive assistance to employees of New England Aquarium.

Our HR Coordinator is responsible for maintaining employment, payroll and benefit data in the HRIS, communicating benefit information and enrolling employees, and administering a variety of benefits, leaves of absence, and recognition programs. The HR Coordinator is counted on to continuously seek opportunities to improving services, benefits, technology and procedures and to contribute to special projects and departmental initiatives.

ESSENTIAL FUNCTIONS

  • Maintain accurate, efficient, and secure employee information in the HRIS; input payroll and benefit data; work with Finance Department to assist in the processing of payroll. Provide HRIS data, reports, and analysis to HR and management as needed.
  • Collect all necessary documentation to support the establishment of the employee record including pre-employment and new hire forms and documents. Process paperwork for new hires and track receipt of immigration validation, signed agreements, and other required information.
  • Enter, approve, and audit all employee benefit plan transactions, ensuring additions, terminations, and qualified status event changes are processed correctly and timely manner. Responsible for reconciliation of monthly insurance bills.
  • Prepare benefit exit packages for employees leaving the Aquarium and manage COBRA notifications and administration.
  • Process leaves of absence and respond to inquiries regarding STD/LOA/FMLA. Provide guidance to employees and management, maintain ongoing communication and obtain required documentation.
  • Conduct benefit orientations, annual benefits enrollment, and the annual health fair.
  • Assist with the administration of the worker’s compensation program; submit accident reports; serve as liaison between the employee and insurance company when needed.
  • Assist with the administration of Aquarium retirement plans; coordinate quarterly open enrollments, process loans and distribution requests, create Pension benefit estimates, coordinate annual communications to plan participants and respond to participant questions.
  • Administer Aquarium specific benefit programs such as educational assistance, FSA and HRA administration, EAP, flu shot clinic, employee wellness/fitness program(s), employee discount programs, part time vacation and benefit waiver payout programs, and Employee Aquarium Pass program.
  • Maintain HR and employee related communications on the HRIS home/company page(s).
  • Administer various employee recognition and social programs, such as planning holiday parties and events, employee raffles, Annual Service Awards, United Way and Earth Share campaigns, etc. Serve on Aquarium social committees and/or participate in employee related activities across the organization.
  • Process unemployment and verification of employment requests.
  • Provide administrative support to members of the HR team to assure efficiency and timely attention to all HR needs within the organization. Duties include filing, photocopying, mail distribution, faxing, scanning, maintaining organization charts, ordering office supplies, preparing new hire materials and coordinating departmental mailings. Processes warrants for invoices from various HR vendors.
  • Responsible for recruitment and oversight of Human Resources Intern.
Qualifications:
Minimum Training and Experience

  • Bachelor’s Degree and 1-3 years of human resources or related experience.
  • Concentration in HRIS (i.e. UltiPro HRIS system) and benefit administration a plus.

Knowledge, Skills and Abilities

  • Strong working knowledge of applicable Federal and state employment laws and Human Resources best practices related to recordkeeping and HRIS, benefits administration, and compensation.
  • Commitment to providing a high level of service to all stakeholders, demonstrating approachability and openness.
  • Commitment to strict confidentiality and the ability to handle stressful situations and multiple tasks & projects effectively.
  • Proven success in building engaging working relationships through trust, collaboration, and direct communication.
  • Ability to communicate clear and concise information to employees at all levels of the organization in verbal, written, electronic, and other communication formats.
  • Capable of prioritizing work duties for maximum efficiency and working independently to maintain service levels.
  • High level of initiative and creativity, as well as intuitive problem solving skills.
  • Ability to effectively manage projects from beginning to end.
  • Proficiency in Microsoft Office suite and experience with Applicant Tracking Systems and/or HRIS preferred.
