Mission: Supports Museum mission through all aspects of registration, collections care, department, budget development, exhibition coordination

Basic Functions:

The Office of the Registrar implements Museum policies and procedures encompassing acquisitions, loans, exhibitions, deaccessions, storage, packing and shipping, security of artwork in transit, fine art insurance administration, and risk management.

The Registrar is responsible for managing and tracking Museum collections and for coordinating and managing all phases of the assembly and dispersal of four to five major domestic and international exhibitions a year as well, as exhibitions traveling to other venues from the Museum in consultation with Head, Exhibit Design and Registration.

  • Manage collections database
  • Manage Museum collections according to standards set by the Registrars Committee of the American Alliance of Museums
  • Administer all in-coming and out-going loans, coordinate and manage in-coming and out-going exhibitions
  • Assist the Head, Exhibit Design & Registration in all exhibition matters, maintain and communicate exhibition timelines as requested

Responsibilities:

Registration responsibilities and duties include the follow but are not limited to:

• Ensure compliance with established insurance regulations and/or protocol in the movement, packing, and shipping of objects

• Provide oversight of the registration process for new acquisitions to the collection including gifts, purchases, and bequests

• Oversee rights and reproductions for collections and exhibitions, and process photo requests of collection, in consultation with Curator of Collections and Head, Exhibit Design and Registration

• Provide direct oversight in the handling, packing, movement, and inspection of all objects entering or leaving the Museum

•Periodically review and recommend changes to registration systems in collaboration with the Curator of Collections

• Arrange for insurance coverage of objects on loan or special exhibitions, or recommend insurance coverage on parts of or entire collection

• Correspond with artists, collectors and/or institutions for loans and for shipping arrangements

• Prepare loan agreements with artists, collectors and/or institutions, which are in compliance with internal procedures or protocol

• As needed, identify and engage outside vendors for conservation, shipping, and/or insurance services

• Assist in the installation of exhibits

Major Responsibilities:

Registration

  • Create and maintain collection records, to include, but not limited to, accession and deaccession forms, deeds of gifts, recommendations, artist files, exhibition files, extended loan files, conservation records, and disaster preparedness plan
  • Monitor condition of collection and loan objects, and manage conservation treatments
  • Conduct regular inventories according to the Collections Management Policy
  • Maintain collection files and information for collection objects

Administration

  • Develop, update, and implement all collection management policies and collection related forms, including oversight of the collections database
  • Collaborate with development of the curatorial budgets

Exhibition

  • Oversee in-coming and out-going loans, processing loan forms, receipts and request forms, acting as liaison with borrower/lender, completing condition reports, and arranging, coordinating, and/or providing transportation for all art objects
  • Coordinate in-coming and out-going exhibitions, providing proper handling, packing, crating, transport, insurance, and installation of exhibitions
  • Administer, risk management procedures including fine arts insurance, import/export, preparation of standard facilities report, and evaluation of  loan agreements and exhibition contracts

Job Requirements

REQUIRED EXPERIENCE AND EDUCATION

Must have BFA or BA or related field, plus five (5) years of direct/ hands-on museum experience working with exhibitions, loans, and maintenance and storage of collections.

Must also have experience with scheduling and supervising packing, shipping, conditions reporting and object movement.  Must have knowledge of current legal and ethical

standards of transactions with museums.
