Position Summary
The Development Associate for the National Jazz Museum in Harlem provides direct support to the
Director of Development in the implementation of the Museum’s comprehensive fund-raising program
that is focused on institutional support, individual donors, membership, and special events.
The Development Associate reports to the Director of Development.
Position Responsibilities
Research, Cultivation, and Solicitation
1. Conduct prospect research at the direction of the Director of Development, and recommend
prospects for solicitation.
2. Support execution of strategies for cultivating and soliciting donations from all giving sectors.
3. Manage the annual fund direct mail campaign.
4. Assist in refining the Museum’s Membership program and the creation and dissemination of
Membership appeals.
5. As directed, assists in the preparation of grant proposals and reports.
Development Operations and Management
1. Primary responsibility for implementation and management of the Museum’s first fund-raising
management software, including data transfer and ensuring accuracy and completeness of
existing data.
2. After launch of new database, primary responsibility for entering and tracking data going
forward.
3. Responsible for developing and maintaining additional fund-raising administrative tools,
including prospect spreadsheets, annual solicitation and reporting calendars, and tools for
tracking income and progress toward income goals.
Stewardship and Reporting
1. Primary responsibility for processing acknowledgement letters. Crafts letters and ensures that
all contributions are appropriately acknowledged.
2. Maintain accurate records and calendars to insure the success of the stewardship program.
Special Events
1. Assist in all aspects of coordinating fund-raising special events, including planning, designing,
contracting with vendors, printing, disseminating information and invitations, tracking income
and responses, coordinating entertainment, executing events, acknowledgement of donors and
other partners, and generating income and expense reports.
Support to Senior Managers and the Board
1. As directed by the Director of Development, provide information and administrative support for
the efforts of senior managers and Board members pertaining to fund raising activities.
QUALIFICATIONSBachelor’s degree from an accredited school required. Strong organizational skills necessary; a solid
understanding of fund-raising databases, including segmentation, tracking, and donor research
capabilities is required, as well as overall computer literacy and proficiency with MS Word and Excel.
Strong research, oral communication and writing skills preferred. Ideal candidate will support the
Museum’s mission and be familiar with the culture and protocols of non-profit management.
