This is a limited appointment, academic year position at 35 hours per week year.  This position is expected to end in June 2014 and is not eligible for severance.

Visual and Critical Studies is a Tufts University Academic Department that encompasses the academic programs taught at the School of the Museum of Fine Arts, Boston. The courses are taught by Tufts faculty at the Museum School campus as a part of the BFA, MFA, and MAT degree programs. The department is composed of three distinct areas, or programs:

• Art Historical Visual Critical Studies- includes courses in art history and cultural studies. Courses in this multidisciplinary department introduce students to h various methodologies and socio-historical and theoretical positions that have impacted the way we look and talk about visual culture.
• Art Education- is a program that cultivates a critical perspective on research on and practice of the teaching of art to young people in PK-12 school settings. The Art Education program offers a graduate degree (MAT) leading to art teacher state licensure.
• English at the SMFA- the abilities to read and write both effectively and critically are regarded as a crucial part of an undergraduate BFA education. The classes integrate textual and writing experiences into students’ academic training and the articulation of their studio practices. The program also runs The Writing Center, a tutoring-style center offering all SMFA students one-on-one help outside of class on various writing assignments.

The Administrative Coordinator in the Visual and Critical Studies Department will provide administrative coordination to the department chair, to the English at the SMFA and Art Education program directors, and to faculty. The Administrative Coordinator helps monitor and provides information to the chair and program directors to manage operating budgets, salaries, faculty affairs, course offerings, department communications, department equipment. The Visual and Critical Studies department is part of both Tufts University and the SMFA, and consequently an important dimension of this position is navigating two university systems and serving as a liaison between faculty and the administrative offices of both institutions.

Although the position is primarily located at the Museum School, the Administrative Coordinator will frequently travel to the Tufts University Medford campus for meetings and trainings. In particular the Administrative Coordinator is responsible for the following:

• The financial duties include managing budgets from both institutions, both salary and operating; preparing all budget requests, generating purchasing and payment requests, and monitoring expenditures; and processing student employee compensation.
• Faculty affairs issues include monitoring faculty contract and salary information, acting as liaison with the Faculty Affairs Officer and other staff in the Deans’ Office, processing faculty compensation changes, providing administrative support for new faculty searches, and facilitating expenditures for faculty travel and research.
• Curricular procedures for the two institutions include maintaining department course catalogs, scheduling classes, monitoring enrollment and course rotations, maintaining equipment and materials for teaching, and providing basic support for classroom technology.
• Department communications primarily involves maintaining a department website with course and faculty information. It also includes maintaining department information on SMFA and Tufts University websites, the Tufts University Bulletin, and other printed materials from both institutions.
• The Administrative Coordinator is also responsible for office managerial duties, such as monitoring computers, equipment, and supplies in the offices and classroom spaces; providing basic computer support attaining technical support from resources at both institutions; and evaluating the technical needs of the department and faculty and researching viable solutions.
• Special projects primarily involve supporting publicity and setup for the annual Art Education Festival, as well as other events and projects as they arise.

Basic Requirements:

• Bachelor’s degree
• Minimum of three plus (3+) years of experience
• Proficiency in Microsoft Word and Excel; knowledge of presentation software and website design; and familiarity with Macs and PCs. Strong computer skills are essential for accessing budget updates remotely, and using Excel to combine information from multiple budgets in order to monitor expenses
• Ability to work independently, handle confidential information appropriately, manage a high level of responsibility, foresee issues requiring the program directors’ attention and interact on behalf of the department with various staff, faculty, and administrators at the SMFA, Tufts University, and outside partners
• Excellent organizational, customer focus, communication and time management skills
• Must have experience working with budgets.

Preferred Qualifications:
Experience in a university setting, art administration, or education preferred. An undergraduate degree in an art field is a plus. Advanced experience with Microsoft Excel, including mail merges and pivot tables; knowledge of Adobe Dreamweaver, Adobe Photoshop, ARTstor, and Microsoft PowerPoint; and ability to troubleshoot Mac and Windows operating systems, network, and printer issues are preferred.

Special Work Schedule Requirements:
This is a 10 month per year position, that runs from late August through late June.
