Overview
The Curatorial Assistant is responsible for performing administrative, clerical, and research-oriented duties in support of the Curator and his exhibitions, publications, acquisitions, and other projects. Duties include organizing and maintaining exhibition files and collection database (The Museum System), performing general clerical duties, drafting correspondence and other texts, responding to inquiries, and serving as liaison to other Museum departments, museums, galleries, collectors, artists, and trustees. Performing general art historical research.

Requirements

  • A minimum of two years directly related experience, including administrative support. Ability to use Microsoft Office including Word, Outlook, Excel, PowerPoint, Adobe Acrobat, and Adobe Photoshop. Knowledge of The Museum System (TMS) database is strongly preferred. Must possess excellent interpersonal, grammar, writing, organizational and office skills and be able to perform basic art historical research. Possession of a B.A. degree or M.A. in art, art history or related subject, and knowledge of contemporary art is required.

Essential Functions

  • Assist Curator with scheduling meetings, making travel arrangements, processing invoices, reconciling credit card and other expenses, and other administrative duties as assigned. Also attends department meetings.
  • Assist Curator with all aspects of exhibition organization including locating potential loans, loan correspondence, data entry, image scanning, generating checklists and other reports, compiling installation requirements and restrictions, tracking actual expenses in exhibition budget forms, arranging installation photodocumentation, providing materials and information for traveling exhibitions. Also adheres to exhibition planning process timelines.
  • Assist Curator with exhibition-related publications by, locating images, securing copyright permissions, compiling research as directed, fact checking texts and back matter, mailing catalogues to photo and object lenders. Assist Curator with exhibition-related didactics including object label copy and walltexts;
  • Assist Curator with preparation of Acquisitions Reports and PowerPoint presentations for potential Permanent Collection objects; provide information to Registrar, work with donors and galleries as needed.
  • Draft correspondence for the Curator; generate own correspondence; organize and maintain correspondence, exhibition, and other necessary files.
  • Develop and maintain working relationships and appropriately represents the Museum to outside organizations, collectors, trustees, and artists.
  • Physical Demands
  • While performing the duties of this job, the employee is regularly required to stand, walk, and sit for long periods. Must be able to bend and reach for filing and other job-related functions. Physical mobility skills to move throughout the museum and its offices. Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus. Heavy usage of phones and computers.
