Summary:

 

The Membership and Development Associate is a critical member of the Museum’s development team. The position leads the Museum’s membership program; supports major fundraising activities, including the Annual Fund; serves as staff liaison to the Museum’s active Guild of Volunteers; and oversees the Museum’s function rental program. It also provides key administrative support for the Development Department, including database supervision.

Principal Responsibilities:

 

Leads the Museum’s membership program (25-30%)

  • Establishes, meets, and when possible exceeds membership goals

  • Manages membership recruitment and renewal plan and schedule; leads research, cultivation, and stewardship of members; administers all aspects of the membership program

 

Supports major fundraising activities of Museum (non-membership) (20-25%)

  • Executes Annual Fund print and electronic appeals, including tracking and reports

  • Works with Director of Development to generate support from corporate funders and public agencies; writes grant/sponsorship proposals and reports

  • Researches prospects, develops reports, tracks progress, and performs related fundraising functions

 

Provides key administrative support for the Development Department (15%)

  • Oversees timely processing of gifts and acknowledgments

  • Manages and maintains fundraising database, ensuring completeness and accuracy

  • Supervises part-time Development Assistant, who assists with gift processing, database entry, and membership/development administrative tasks

  • Provides additional administrative support, as needed

 

Maintains a strong relationship with the Museum’s Guild of Volunteers (20%)

  • Serves as main point of contact and coordinates Museum logistics for Guild fundraising events

  • Works with Guild to plan, execute, and evaluate events

  • Attends Guild Board meetings

 

Manages special events and oversees Museum’s function rental program (10-15%)

  • Plans, manages, and provides on-site support for exhibition openings and other special Museum events

  • Supervises special events and modest function rental program; acts as main point of contact for rental inquiries

  • Excellent computer skills

  • Detail-oriented and superior time management skills

  • Proven success in a complex and fast-paced environment

  • A professional and resourceful style; the ability to work both independently and as a team player, to take initiative, and to manage multiple tasks and projects at a time

  • High integrity and sound judgment

  • Bachelor’s Degree required

  • Willingness to work weekends and evenings, as required

SUPERVISORY RESPONSIBILITIES

Oversees part-time Development Assistant, who assists with data and gift entry, financial reports, auction donation requests, filing correspondence and other records, and department mailings.

EDUCATIONS and/or EXPERIENCE

Bachelor’s degree (B.A.) Required. Must be comfortable with computers and able to work efficiently with word processing, spreadsheet, database, and online software.

 

LANGUAGE SKILLS

Strong writing and communication skills required. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from colleagues, Board members, donors, members, vendors, and the general public.

 

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, proportions, and percentages. Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
