Registrar for Loans from the Collections [Museum of Fine Arts, Boston]

Under the supervision of the Registrar for Exhibitions and Registration, the Registrar for Loans from the Collections will manage all aspects related to the Museum’s outgoing loan program, overseeing all administrative and logistic details of loans (500-600 objects per year) to domestic and foreign institutions (150-200 museums and organizations worldwide), including the Annual Loan program. Essential functions include: Create and maintain loan records in the collections management database and track all loan requests; Check and verify all information pertaining to the borrower, including facilities reports, to ensure proper security, climate control, fire protection, staffing and insurance coverage meet MFA standards, and work to rectify if not; Mediate on an ongoing basis between the MFA and borrower, informing all parties about the status of the loan request. Inform and negotiate with the borrower on their ability to execute any special requirements for installation, shipping, storage, and handling of objects. Verify borrower’s ability to cover all costs pertaining to the loan. Submit and process invoices; Coordinate Loan Review meetings. Consult with curators and review all requests, including verification of provenance, credit line, loan history, restrictions, and value for each object requested. Consult with and review all proposed loans with department chair. Review object condition and special requirements for loan with conservators. Prepare and submit the Loan Agenda to the Committee on the Collections for approval. Prepare and execute all loan documents after approval, signing all loan contracts between the MFA and the borrower; Oversee packing of objects with fine arts packers. Work closely with packers, conservators, and curators to determine most appropriate packing and shipping methods; Discuss and confirm all transport arrangements with the shipping agents and carriers. Ensure compliance with all state, federal, and foreign transportation and customs regulations, and keep abreast of current practices in these areas. Submit or arrange for all necessary documents for US and foreign customs purposes. Apply for and obtain all necessary governmental permits for export and import of objects containing or made of materials from endangered species or objects originating from countries against which the US has sanctions; Review and approve insurance and indemnity policies and coverage for MFA objects. Determine and arrange for special coverage when necessary. Negotiate and process any insurance claims; Schedule Courier Selection Committee meetings and maintain courier selection records in collections management database. Make all courier arrangements. Train couriers. Serve as courier.

Qualifications: Applicants must have a Bachelor’s degree in art-related field or equivalent knowledge and experience; At least 10 years of museum registrar experience required; Ability to travel nationally and internationally; Ability to execute, with caution and good judgment, some physical work, including but not limited to placing dollies under crates, carrying boxes and objects of approximately 20 lbs, and standing on shipping dock for extended periods; Proficiency in working with electronic data/collections databases required; Ability to perform tasks in professional manner and with discretion when working with confidential records. The successful candidate must be precise and highly organized, have excellent communication and relationship management skills, and work well as part of a team.
