The Coordinator, Donor Relations is responsible for working with the Associate Director, Donor Relations and Deputy Director, Advancement on all aspects of donor events, including the Museum’s major fundraising events, Gala in the Garden, and K.A.M.P. (Kids’ Art Museum Project), and for maintaining donor relationships associated with these events. The incumbent is responsible for the planning, oversight, coordination, and implementation of all off-site cultivation and stewardship events, and select internal Museum events such as donor receptions. Additionally, the Coordinator manages all administrative aspects of fundraising events, including gift acknowledgements/receipts; monitoring budgets/expenses; preparing mailings and invitation lists; and working with outside vendors and volunteers when appropriate. This position also supports the Deputy Director, Advancement and Museum Director as needed. Frequent evening and weekend work is required.

Duties include but are not limited to the following: working with and regularly interacting with donors; providing weekly forecast and analysis reports using Raiser’s Edge (Museum’s database) to provide department with up-to-date information on fundraising goals; coordinating travel and logistics for donor trips; assisting with donor correspondence and prospect tracking; providing support with corporate prospects and sponsors for donor and fundraising events; general administrative support; providing support to the Museum Director and the Director’s Office as needed onsite and offsite; planning, coordinating and implementing cultivation and stewardship events and special Museum events as directed; managing event budgets and tracking expenses; creating event timelines; coordinating with outside event vendors; drafting contracts for vendors and consultants; managing guest lists; overseeing logistics for the annual fundraising Gala and K.A.M.P.; organizing committee meetings.

Requirements: working knowledge of the principles and practices of development and fundraising; 3 years of experience conceptualizing, planning, and implementing special events and programs for diverse constituencies; excellent interpersonal skills to establish and maintain cooperative working relationships with staff, University administrators, donors, vendors, and volunteers in a multi-ethnic and diverse working environment; excellent written and oral communication skills; strong ability to set priorities and manage workflow in a fast-paced work environment; proven skill in budget preparation and cost control; ability to work frequent evening and weekend hours; proficiency with Microsoft Office Suite. Preferred: familiarity with art history and trends in cultural programming within public arts institutions; understanding of the goals and objectives of a museum development/annual giving program. This is a renewable contract position.
