Position Title: Public Programs Assistant
Department: Public Programs
Reports to: Director of Program Planning
Type of Position: Part-time (16 hours per week); hourly, non-exempt

Position Summary
This 16 hour per week position provides key support for the Gardner Museum’s Public Programs Department, with an emphasis on Thursday evening programming, including Third Thursdays, lectures, concerts, and artist events. Both organized and creative, the assistant is a key player in the planning and implementation of Third Thursdays. The Public Programs Assistant will be active in activities related to planning, scheduling and coordinating programs, and will collaborate often with staff from other departments. The schedule is somewhat flexible, and will require planning time during regular working hours (9 am – 5 pm) in addition to most Thursday evenings and the occasional weekend day. Availability on Thursday evenings is a key requirement for this position.

Responsibilities
• Assist the Director of Program Planning in the planning and administrative management of Third Thursdays, an evening hours program geared towards 18-34 year olds
• Provide support for Thursday evening programs, working closely with the Security, Visitor Services, Music and Contemporary departments and outside vendors
• Process invoices and coordinate contracts and payments for musicians and other performers or vendors
• Manage the schedule of volunteer program greeters who welcome ticket-holders and facilitate seating in the new Renzo Piano-designed performance hall; ensure adequate volunteer coverage to ensure a smooth start to each program and coordinate with Visitor Services staff
• Research and identify target audience groups to attract to Third Thursdays and the Museum’s lecture series
• Assist with audience research – which may include exit surveys, email surveys, and other research techniques – related to Third Thursdays and the museum lecture series
• Other duties as required

Qualifications:
• Excellent people skills and visitor-friendly approach
• Excellent attention to detail and follow up skills
• Strong editing and writing skills
• Solid knowledge of social networking via Facebook, Twitter, and other platforms
• Experience managing projects and skilled at coordinating logistical details
• Event planning experience helpful 
• Experience working in a museum or arts setting helpful but not required
• Creativity, flexibility and a sense of humor essential
