The Director of Finance and Operations serves as the organization’s chief financial officer and is responsible for business activities, facilities operations and human resources. This is an exempt, full-time position with a Monday-Friday work week.

Responsibilities:

 Function as the Society’s chief financial officer, including preparation and management of the operating budget, and serve as the principal advisor to the Executive Director on fiscal matters.

 Be responsible for accounting systems in fund source accounts, receipts, expenditures, endowed and restricted funds, reporting on private-sector and government grants, cash-flow management and analysis, and timely reporting on financial status of the Society’s appropriations, revenues and expenditures.

 Function as the Society’s personnel, benefits and compliance officer.

 Consult with and advise Senior Managers on policies, regulations, and management of Society operations and serve as a member of the Senior Managers group in regular meetings with the Executive Director.

 Work closely with the Society’s auditors on the preparation of the annual financial audit and Form 990.

 As assigned, work with other staff on programmatic initiatives such as Vermont History Expo, Vermont History Day, League of Local Historical Societies and Museums Annual Meeting, and the VHS Annual Meeting.

 Prepare and maintain up-to-date written procedure manuals for accounting, personnel management, emergency preparedness and other operational areas;

 Serve as the liaison with the public and state agencies for the rental and use of the Community

Room at the Vermont History Center.

 Serve as the liaison with the State of Vermont and other tenants leasing space at the Vermont

History Center.

 Serve as the fiscal liaison with the State of Vermont’s Department of Finance and Management, including working closely with the Executive Director on preparation of the Society’s annual appropriation request, capital budget requests and other fiscal interactions with the State of Vermont.

 Work with the Board of Trustees on fiscal and operational matters, and assist the Executive

Director and Executive Committee in the planning of Board meetings; serve as staff liaison with the Finance Committee; prepare minutes for Finance and Executive Committee meetings.

Relationships:

The Director of Finance and Operations reports to the Executive Director and works collaboratively with other VHS staff, VHS committees, volunteers, and agencies of the State of Vermont. The DFO supervises the Facilities Manager and the Bookstore Coordinator.

Environmental Factors:

 Duties are performed in a standard office setting, generally in Barre, Vermont.

 Certain duties will require heavy workloads and tight deadlines, especially in preparation for Finance Committee, Executive Committee and Board of Trustees meetings, and in preparation for the annual financial audit.

 Moderate travel requirements may occur, for which a valid driver’s license is required and private means of transportation must be available.

 Weekend and occasional evening work will be required.

Required Qualifications & Experience:

 Bachelor’s degree or equivalent in business administration, finance or a related field.

 Five or more years of related experience, preferably with a non-profit organization.

 Advanced skills with Microsoft Excel and Outlook applications and accounting software

required

 Excellent verbal and written communications skills.

 Demonstrated project management skills and the ability to work with deadlines.

 The ability to exercise good judgment with minimum supervision.

Desirable Qualifications & Experience:

 Advanced degree in accounting or a related field.

 Experience with MIP Fund Accounting software.
