Event Managers are expected to oversee all aspects of events held at the Museum and in the Sculpture Park, such as weddings, benefits, fundraisers and meetings. Event Managers interact with clients and relevant Visitor Services staff to execute event details.

Responsibilities:

The Event Manager (EM) is the onsite contact for the client hosting the event at deCordova. The EM must supervise the initial event set-up, synchronize all staff related to the event including security, caterers, entertainment, parking and guest registration, etc. The EM will welcome, usher and direct vendors and guests on arrival. He/she will be required to adhere to the pre-established time line negotiated by the Head of Functions and Rentals with the host of the event.  The EM is expected to suggest ideas, or other creative possibilities, to help facilitate successful events.

Event managers will continually prioritize tasks related to the event and manage staff and logistics in a timely fashion throughout the course of the event.  During events, event managers will ensure that catering areas are clean and that food is handled in a safe and sanitary manner in accordance with state specific regulations.

Event Managers shall attend to any problems or complaints that may arise during events. The alcohol ingestion of guests are to be monitored throughout the event and in warranted situations be prepared to supervise the elimination of alcohol and arrange for alternative transportation as needed.

Event Managers will be responsible to evaluate and report on the success of the function, oversee the clean-up and restoration of the Museum at events conclusion. Protection of the Museum artwork, collections, sculptures and the park is of the utmost importance. Other responsibilities include; attending orientations and training for current and upcoming art exhibits, as to educate, involve and inform guests to the mission of deCordova Sculpture Park and Museum.

 

 

Qualifications:

  • Experience in Event Management, Hospitality, Communications or Public Relations is preferred.
  • Availability to work evenings and weekends.
  • Arrive to work on time and dressed appropriately for special occasions
  • Excellent organizational and prioritization skills a must.
  • Positive attitude
  • Friendly and welcoming demeanor; enjoy working with the public.
  • Proven track record of reliability and punctuality.
  • High level of communication, customer service and public relations skills.
  • Must be able to stand for an extended period of time.
  • Ability for efficiency, grace and tact during high public traffic cycles.
  • Must be able to adapt to changing situations and multitask, handling several people and tasks simultaneously with grace and ease.
  • Retain good problem-solving skills as well as superior communication skills.
