Reporting to the Executive Director, the Event Manager is responsible for scheduling and coordinating private function rentals at the Charles River Museum of Industry & Innovation (Waltham, Massachusetts) and all pre/post event activities for facility rentals.

The Event Manager’s job responsibilities:

Coordinate, implement and otherwise oversee all aspects of the Museum’s facility rental program, including booking events, meeting with potential renters and overseeing contractual responsibilities with renters and vendors.

– Answer email and telephone inquires about the facility.

– Coordinate with potential clients to schedule facility tours.

– Provide tours of the facility to potential clients and vendors.

– Oversee the facility during private event functions, including managing event staff and volunteers.

– Serve as the point person for vendors, caterers and clients for the facility.

– Act as a liaison with cleaners and building maintenance staff pre/post event.

– Coordinate the upkeep of the rental space, equipment and grounds.

– Update the Museum’s online list management for facility rentals and prospective client tours.

– Perform or coordinate staff activities for the regular opening and closing of the facility related to public/private events

– Provide vendor and client access to the building pre/post event.

Qualifications:

– Demonstrated work experience providing excellent customer service to a diverse variety of clients.

– Experience using:

Email
MS Word to generate documents, letters and other correspondence
MS Excel to create and maintain spreadsheets
Gmail Calendar
Multi-line telephones

– Strong time management and organizational skills.

– Experience prioritizing work to meet multiple deadlines.

– Ability to work both independently and as a team player, often under pressure, to meet project schedules.

– Excellent communication skills.

– Detail oriented

Preferred Qualifications

– Experience as an Event Coordinator or in Event Management.

– Experience working with caterers and outside vendors, experience selling facility rentals.

– Experience and knowledge of the use and operation of various types of media equipment such as projectors, sound systems, lighting systems, laptops, microphones, DVD players, and PowerPoint.

– Experience overseeing employees and working with volunteers.

Work is performed in an office setting with frequent in-person and phone interactions. It is essential to be able to meet the physical demands of sitting for periods of time at a desk/computer workstation. Some amount of standing, stooping, kneeling, bending, crouching, lifting, walking, carrying, and other movements may be required. Must be able to lift 50 lbs. Must have dependable transportation.
