Under the general direction of the Executive Assistant to the Deputy Director and CFO, the Department Assistant will provide administrative support for the day-to-day operations of the Controller, Director of Planning and Analysis, Director of Procurement and Business Operations, and Director of Treasury.

Essential functions include: schedule meetings and reserve conference rooms; escort guests to/from meeting locations; order department supplies and coordinate service calls for department equipment; prepare letters; process paperwork for payment requests and purchase requisitions; data entry; prepare expense reports; establish and maintain individual filing systems; assist with special projects throughout the year, including providing administrative support on the annual audit, budget process, and the preparation of materials for any related board or department meetings; provide coverage for the Executive Assistant as necessary (i.e. phone coverage, mail, copy work, etc.) for the daily operations of the Deputy Director and CFO, which may involve handling confidential matters.

35 hours/week; Mon-Fri, 9:00am-5:00pm.

Qualifications:
Bachelor’s degree or equivalent required, along with 1 to 3 years of administrative/office experience. Additional qualifications include: excellent communications skills, both written and verbal; ability to work under tight deadlines in a fast-paced environment; strong knowledge of PC-based Microsoft Outlook, Word, Excel and PowerPoint; familiarity and high-level of comfort with database systems to produce letters, reports and financial summaries; strong organizational skills and attention to detail; ability to handle confidential information; knowledge of Oracle a plus.
