Executive Assistant to the Deputy Director and Director, Planning and Administration

Description:
The Executive Assistant to the Deputy Director and Director of Planning and Administration for the External Relations Division provides a full range of high-level administrative support as well as general office management for a division of 40+ staff. Interfaces regularly with Board leadership, Museum donors, senior management, and staff throughout the Museum. Responsibilities include serving as liaison on behalf of the Deputy Director’s office both internally and externally, meeting/greeting guests in person and by phone, calendar management, travel planning and scheduling, preparation of meeting materials, drafting correspondence, budget reconciliation, and more. Ability to handle confidential matters in a highly professional and service-oriented manner. Will also serve as the office coordinator for division-wide administrative systems, operational guidelines and procedures.
Qualifications:
Bachelor’s degree and minimum of five years executive level administrative experience required. Experience within a Development office preferred. Strong organizational skills and attention to detail. Excellent written communication and interpersonal skills. Ability to handle delicate and confidential information. Ability to multi-task, prioritize assignments and work in a complex and fast-paced environment. Proven ability to work both independently and as a team player. Strong professional demeanor and interpersonal skills. Solid working knowledge of PC-based Microsoft Word, Excel, and PowerPoint required. High level of comfort with database systems preferred.
