Position Summary
The Director of Special Events is responsible for the planning and the execution of key development and other museum events. He/she is additionally responsible for overseeing the museum’s Rental Program plan to achieve annual goals, including rental sales of $500K for FY16. The Director of Special Events will manage the Rental Event Manager who is responsible for the management of the rental program, and will work collaboratively with Development staff to achieve development and broader museum goals.
The Director of Special Events is a senior member and integral part of the Development team. He/she will work closely with other members of the development team, including the Director of Individual Giving and Manager of the Friends of Fenway Court, to establish Development and museum event goals and objectives. The Director of Special Events will also work collaboratively with the Manager of Corporate and Institutional Support to develop strategic relationships with clients that will result in broader support for the museum.
In other areas of the Museum, the Director of Special Events will serve as a resource and advisor, when needed, to other departments in the conceptualization, planning and execution of internal events.
The Director of Special Events will also work with Museum Conservation, Security and Facilities departments to understand, interpret and enforce museum guidelines with regard to the use of facilities, protection of artwork and safety of event guests.
Responsibilities
• Take the lead on the planning and execution of all aspects of key development events, including serving as the primary liaison internally, budget management, etc.
• Oversee rental revenue targets and expense budget
• In conjunction with the Rental Event Manager as well as the Museum’s sole-source catering company, oversee the planning and execution of all Rental event details including food and beverage service, security and facility coverage, catering, linens, audio-visual, flowers, entertainment, lighting and take-away gifts for rental events
• Attend Operations planning group and work closely with the Planning and Logistics Manager to plan for the execution of internal and external events
• Plan staffing for and execute, as needed, on-site management for event set-up, event, and event breakdown, including all vendors, client needs and museum staff on all Rental, Development, and other internal events
• Ensure the safety of the Museum and satisfaction of the museum’s Board, supporters and/or clients as appropriate
• Serve as supervisor to the Rental Event Manager
