About Museum of the Moving Image

Museum of the Moving Image advances the public understanding and appreciation of the art, history, technique, and technology of film, television, and digital media.  It does so by collecting, preserving, and providing access to moving-image related artifacts; screening significant films and other moving-image works; presenting exhibitions of artifacts, artworks, and interactive experiences; and offering educational and interpretive programs to students, teachers, and the general public. The Museum opened its $67.5 million capital expansion and renovation in January 2011 and nearly tripling its prior attendance levels in its first year.  The Museum occupies land owned by the City of New York adjacent to Kaufman Astoria Studios in Astoria and is a member of the City’s Cultural Institution Group.
Overview

The Chief Financial Officer & Deputy Director for Administration (CFO & DDA) ensures sound financial planning and management across all aspects and departments of the Museum. A member of the Museum’s senior leadership team, the CFO & DDA reports to the Museum’s Executive Director and works directly with the Finance and Audit Committees of the Board of Trustees.

The CFO & DDA leads all finance, accounting and administrative functions of the Museum, including functional responsibility over accounting, payroll, retail operations, human resources, insurance/risk management, administrative contracts management and financial oversight of program contracts. The CFO & DDA has a staff of two people.

A successful candidate will have both a strategic and hands-on approach to finance and administration, be adept at financial analysis and business planning, and be committed to the Museum’s mission and service to the field.

Finance and Accounting Responsibilities

a) Oversee short- and longer-term strategic financial planning.

b) Supervise all accounting functions, including accounts payable, accounts receivable, chart of accounts and   general ledger, ensuring compliance with appropriate GAAP standards and regulatory requirements. Maintain and implement appropriate internal controls.

c) Prepare monthly, quarterly and annual financial reports in a timely manner for the Executive Director and Finance Committee of the Board of Trustees.  Develop and deliver financial reports at Board and Executive Committee meetings.

d) Oversee and lead annual budgeting and planning process in conjunction with Executive Director and senior management; administer and review all financial plans and budgets; monitor progress and changes on a monthly basis and communicate this information to senior leadership, identifying variances and developing appropriate action plans.

e) Manage organizational cash flow and forecasting.  Manage and monitor Line of Credit.

f) Maintain existing relationships with external creditors including banks.  Oversee the annual audit process; coordinate with external auditors and report to the Audit Committee of the Board of Trustees.  Produce external financial statements.

g) Working with Deputy Director for Development and project staff, oversee financial planning, management, and reporting of government, foundation, and privately-funded grants.  Oversee the preparation of budgets and financial reports for all grant-funded projects.

h) Oversee financial planning and management of capital projects.

i) Interface with such City agencies as the Department of Cultural Affairs and Economic Development Corporation on all financial matters.

Human Resources, Retail Operations and Administrative Responsibilities

a) Further develop and manage the Museum’s administration of all personnel policies and procedures, ensuring compliance with legislation and policies.

b) Oversee benefits administration; recommend modifications to existing plans plus additional options; negotiate with benefit providers.

c) Provide guidance to managers and staff on all personnel issues that arise; liase with outside counsel, as needed.

d) Negotiate and ensure compliance with all union contracts.

e) Review all independent contractor agreements.

f) Supervise Director of Retail Operations; monitor Café and Museum Store revenue and expenses; advise on inventory, merchandise and presentation; ensure adequate staffing of retail outlets.

g) Understand and mitigate key elements of the Museum’s risk profile; negotiate and maintain appropriate insurance coverages.

h) Monitor all open legal issues involving the Museum, and legal issues affecting the field.

Job Requirements

Required Qualifications

a) Excellent written and verbal communication skills.

b) A minimum of ten years in finance, with at least five years in a managerial or executive position.
Experience as part of an organization’s senior leadership team.

c) Working knowledge of financial/accounting software (e.g. Excel, Financial Edge, Altru).

d) At least a Bachelor of Arts or Bachelor of Science degree.

Preferred Qualifications

a) Experience working at nonprofit, cultural, or other public attraction.

b) Familiarity with City funding process, including proposal and reporting requirements.

c) Master’s degree, preferably in business administration.

d) Familiarity with Cultural Data Project reporting requirements.

e) CPA.
