Temporary Administrator (Part Time)

Description:
The South End Historical Society seeks a temporary administrator to manage the organization while the current Executive Director is on maternity leave. This is a part time (10 hours/week) temporary position, expected to last from early October 2015 – late April 2016. This period will include 2 months of overlap before Director’s leave and 2 months of overlap after her return. Flexible hours make this an ideal position for a graduate student in Public History or Non-Profit Management looking to supplement their education with hands-on experience. This position reports to the Executive Director.
Duties:

  • Assist Director with administrative duties in preparation for leave and after her return
  • Maintain basic operation of the SEHS offices by checking mail, email, and voicemail and responding accordingly
  • Process incoming payments, paying bills, filing taxes, and general banking
  • Basic bookkeeping using Quickbooks (training provided)
  • Maintain open communication with Property Manager and tenants of SEHS Headquarters, the Francis Dane House
  • Process memberships and issuing membership renewal notices
  • Maintain current membership initiatives
  • Act as staff liaison to the Board of Directors before monthly Board Meetings
  • Serve as primary point of contact for membership, Board of Directors, and the general public
  • Send notices of upcoming programs to Membership and assist Programming Chair with program preparation
  • Update the Historical Society’s website as needed
  • Maintain the Historical Society’s Social Media presence
  • Catalog archival and photographic collections in PastPerfect Museum Software (training provided)
  • Additional tasks as requested by the SEHS Executive Director and Board
Qualifications:

  • Bachelor’s Degree and at least 1 year experience in an office setting
  • Excellent written and verbal communication skills
  • Proven ability to work independently with little supervision
  • Proven ability to manage diverse tasks at once
  • Proficiency with computers, including Microsoft Office Suite and Social Media platforms;  comfortable with databases and learning new software
  • Passion for history, historic preservation, or design a plus
  • Training in Public History or Non-Profits preferred, but not necessary
