Job Description

The Fine Arts Museums of San Francisco (the de Young and Legion of Honor) are seeking an Assistant Director of Data Information Services. This position provides a broad range of information services in support of visitor/member/donor relationship management and fundraising efforts of the Fine Arts Museums of San Francisco, the largest arts institution in the Bay Area. The Assistant Director of DIS is responsible for 1) administration and management of the Museums’ member/donor database; 2) oversight of processing and entry of member/donor information and contributions; 3) use of data, including conception and execution of analytic reports; and 4) user support.

Typical Duties and Responsibilities

  1. Train, supervise, and monitor the performance of data services staff, including the Data Services Managers, Data Services Associate, and all Data Services Assistants. Oversee data entry activities to ensure the timely and efficient processing, acknowledgement, and fulfillment of all donations to the organization.
  2. Develop strategy with all departments using data; support processes on optimization of data use re: visitors, members, donors, and prospects.
  3. Help conceptualize and manage the generation of financial, analytical, statistical, and demographic reports, as well as mailing lists, recognition lists, and other data extractions as requested by museum personnel. Design and generate customized reporting and sets in place automated processes as necessary.
  4. Establish the database as a museum-wide resource.
  5. Provide training to all CRM database users. Assist staff in using the aspects of the program required to support the goals of the organization.
  6. Collaborate with colleagues in Development and Strategic Projects responsible for fundraising in prospect research and moves management activities, including the generation of donor and prospect lists and profiles, as well as reporting on cultivation, solicitation, and stewardship activities.
  7. Collaborate with colleagues in Membership/Development to track, support, and assess the Museums’ membership programs.
  8. Pursuant to financial regulations and best practices established by the non-profit community, create, standardize, and document policies and procedures related to donor information collection and entry, gift acceptance, and gift processing. Ensure that the highest privacy standards are maintained for constituent information.
  9. Work with Accounting to reconcile gifts, provide transaction information and reports, troubleshoot issues when required, reevaluate procedures and systems to improve future gift tracking, reconciliation, and reporting.
  10. Participate as a leader of the Advancement & Engagement team.

The de Young, designed by Herzog & de Meuron and located in Golden Gate Park, showcases American art from the 17th through the 21st centuries, international contemporary art, textiles and costumes, and art from the Americas, the Pacific, and Africa. The Legion of Honor displays a collection of over 4,000 years of ancient and European art including Auguste Rodin’s The Thinker and houses the Achenbach Foundation for Graphic Arts in a Beaux-Arts style building overlooking Lincoln Park and the Golden Gate Bridge.

Job Requirements

Education: Bachelor’s degree, preferably in computer science, information systems, or related field.

Work Experience: Five or more years database administration experience in a non-profit organization, preferably in a membership-based program. Three or more years direct supervisory experience.

Skills and Abilities:

  • Excellent computer skills including a high-level of proficiency in SalesForce, Microsoft Excel and other MS Office applications.
  • High level of analytical, mathematical, and problem-solving skills.
  • Familiarity with current fundraising practices and accounting principles.
  • Ability to provide leadership and training in the use of the CRM , as it relates to the cultivation and fundraising efforts of the organization.
  • Excellent organizational skills including the ability to identify priorities, work independently, meet deadlines, and use logic and analysis to solve computer software problems.
  • Ability to communicate effectively both verbally and in writing with staff, supervisors, and vendors.
  • Must be able to exercise decisiveness and good judgment in situations requiring the evaluation of information to reach creative solutions.

Working Conditions:

Close office setting; must have ability to work with computer for extended periods of time.
