Job Description

Job Summary:  Responsible for the care, movement and primary documentation of the permanent collection and oversees the processing of accessions and deaccessions. Assists with the coordination of loans from the collection and incoming and outgoing works for exhibitions.

Responsibilities:

  • Oversees the instruction and supervision of contract laborers, interns, and volunteers that assist with registration activities.
  • Handle, pack and unpack, transport, store, install, and de-install artwork of all types.
  • Engage, instruct, direct, and assist conservators, appraisers, artists, and vendors.
  • Oversee access, storage, preservation, and conservation of museum collections while in storage and on display. Monitors environmental conditions in all storage areas and galleries.  Identifies hazards and implements mitigation procedures as required. Interfaces with curators and conservators as the need arises; oversees scheduling and coordination of such conservation work. Perform art examinations and condition reports.
  • Practices appropriate handling techniques. Keep art storage vaults and installation areas clean and orderly for efficiency and the safety of personnel and art objects.
  • Assists in controlling access to the collection and answers inquiries about the collection from other museums, scholars, students, donors, lenders, the general public and staff.
  • Schedule art shipments, as needed.
  • Oversees the registering of gifts, purchases, bequests and estate material designated for the collection, including gathering pertinent, assimilating it into the data system or correcting it as required.  Assigns numbers and physically marks each object. Assigns storage locations.   Supervises the creation of records and / or the modification of existing ones for all art owned by the museum for the purpose of resale. Coordinates the storage, resale and / or sale of these objects as directed by the appropriate curator. Tracks revenues realized from the sale of these objects. Prepares and submits reports on resale inventory additions and sales activity as required. Assists in the development of collection management policies and various other relevant procedural guidelines and forms.
  • Initiates and participates in periodic inventory checks. Maintains accurate location records.
  • In conjunction with the Senior Registrar, assists in preparation and management of annual budget. Execute purchase orders, as required.
  • Consuls with associates at other cultural institutions to determine best practices.
  • Assist museum personnel with correspondence, audits, and grant applications.
  • Assists senior museum staff in the development of the permanent collection.
  • Assists the Curatorial administrator in preparing the Collections Management Committee agenda and the physical review of objects being considered at each meeting.  Attends Collections Management Committee meetings.
  • Works with Exhibition Manager, museum personnel, colleagues from other museums, and outside vendors on the logistical coordination of curatorial projects. Assists in installing and mounting of exhibitions. Monitors artwork condition and environment during display. Assists in dismantling exhibitions.  Examine, repack and rehouse artwork.
  • Willingness to travel as required including courier duties and working out of hours as occasionally needed for art shipments and installations.
  • Serve as departmental liaison for fundrasing/installation event Art Alive.
  • Periodically attend related professional conferences and/or workshops.
  • Attend institutional meetings and perform other departmental tasks as required.

Job Requirements

Bachelor’s degree with emphasis in art history, business administration, or related field

  • Minimum three years museum registration experience
  • Art handling skills
  • IT skills
  • Ability to use small tools and work on ladders
  • Ability to work independently and as part of a team while meeting strict deadlines
  • A valid Driver’s license and insurance
  • A valid US passport
