Job Description

POSITION OVERVIEW:

Reporting to the Manager of Public Programs, the Auditorium Production Coordinator will oversee the technical and logistical implementation of special event/public programs in the Museum’s 157-seat Auditorium. Coordination responsibilities include interface with all Memorial and Museum departments involved in an event to ensure that institutional procedures are observed in a comprehensive and timely manner. Auditorium scheduling, Museum signage, technical coordination, and day-of event logistics are all involved, as is tracking long-term technical projects in the Auditorium.

This is a flexible position and will require some evening and weekend work.

ESSENTIAL FUNCTIONS:

  • Serve as the focal point of coordination of all special event/public programs in the Auditorium, working with all relevant Memorial and Museum departments.
  • Prepare and distribute a comprehensive Auditorium calendar.
  • Implement pre-event checklist with event organizers, ensuring that institutional procedures are followed in advance of an event.
  • Work effectively with on-site staff (Visitor Services, Admissions, Security, and Café) to fulfill all event needs, both in advance and on the day of an event, including signage, staffing, deliveries, and other logistical arrangements
  • Coordinate technical arrangements with the in-house A/V team: confirm staffing, compile run-of-shows, deliver program and event materials, conduct run-throughs, lead site surveys, and facilitate transfer of recorded content.
  • Ensure required internal forms and work orders are completed and submitted according to departmental schedules.
  • Create and circulate internal briefings for all Auditorium events and programs in compliance with institutional guidelines.
  • Serve as default technical supervisor for all Auditorium events programs, working with Public Programs staff or other event staff to implement other logistical arrangements.
  • Independently manage Auditorium events as assigned.
  • Work on long-term technical projects with in-house A/V team, including equipment inventory and media management.
  • Other responsibilities as assigned.

Job Requirements

QUALIFICATIONS/SKILLS REQUIREMENT:

  • Bachelor’s degree or higher      preferred.
  • At least five (5) years of relevant experience in cultural institutions, or educational and training      institutions.
  • Experience in production management or technical direction preferred, including experience with relevant equipment.  Experience collaborating across department lines within an organization.
  • Passion for achieving excellence and broad audience participation.
  • Ability to assess priorities and work well under pressure; excellent time management, problem solving, and analytical skills.
  • Excellent written and oral communication skills.
  • Demonstrated ability to work professionally and tactfully, represent the Museum with a high level of integrity and professionalism, adhere to Museum policies and support management decisions in a positive, professional manner.
