Development Events Associate

Position Title: Development Events Associate
Department: Development
Reports to: Director of Special Events
Type of Position: Full-time, non-exempt (hourly)

Position Summary
Reporting to the Director of Special Events, and also working closely with the Director of Development and the rest of the Development Team, the Development Events Associate will be the lead administrative support on all development events and a key member of 12-person development team responsible for supporting all of the museum’s fundraising and cultivation goals.

Specific Goals and Key Responsibilities
Take administrative lead and support all event logistics on development events, including the Annual Gala, and exhibition openings and lead/staff the department’s weekly event meeting;
Serve as primary event contact for outside the department, liaison to museum operations, and manage event listings in the museum’s event management system (EMS);
Write and develop event collateral and work with marketing department to keep projects on time and within budget;
Write and manage event-related acknowledgements;
Generate, manage, and track all event lists (and RSVPs) in database and for department;
Support all development-related meetings;
Manage and track development expenses, maintain event binder, and submit invoices to finance department;
Manage Director of Development’s calendar;
Provide staff lead on Development phone and Patron line coverage;
Maintain shared office space and equipment;
Manage complementary tickets with box office;
Staff weekly development team meeting;
Provide additional project-based support as needed.

Qualifications:
Requirements
BS/BA or equivalent;
2-3 years of experience with special events (and in development a plus)
Superior organizational skills and ability to manage multiple tasks in a fast-paced environment;
Strong computer skills required, experience using Raiser’s Edge preferred;
Strong attention to detail and ability to handle confidential materials with discretion;
Strong customer service skills, sense of humor and overall flexibility important;
Willingness to work evenings and weekends required.
