Description

Under the supervision of the Director, Administration, the Coordinator, Board Relations & Special Projects manages and coordinates work, activities, and projects that further the long-range goals and objectives of the Museum. S/he also provides strategic coordination for administrative, contractual, risk management, governance, strategic planning, and other matters specific to museums and unique to the Hammer Museum and its complex organization and governance structure.

Responsibilities include drafting contracts, insurance documents, and official business and corporate documents; managing budgets, invoices, and expense reports; developing, implementing, and managing institutional policies and procedures; coordinating corporate and governance affairs; coordinating staff engagement events and activities; coordinating meetings for the Administration Department, Museum department managers, organizational groups, and Museum staff; and managing institutional and departmental files and archives. Special projects will focus on strategic planning; long-range operational, financial, and capital planning; and other research initiatives directed at advancing the Museum’s operations, financial position, and long-term sustainability.

Requirements: 3 to 5 years of demonstrated experience and excellent skills in administrative coordination, preferably in an arts, cultural, or nonprofit institutional setting; Bachelor’s degree in museum studies, arts administration, or a related field, as well as prior art museum experience, interest in museums, and knowledge of museum operations, standards, practices, and procedures; ability to research, analyze, communicate and identify solutions for complex issues in collaboration with others; qualitative and quantitative research skills; ability to maintain strict confidentiality of information related to contracts, administrative and financial records, Board documents, risk management, and HR records; ability to discreetly and tactfully recognize and handle sensitive and confidential information; exceptional abilities with respect to organization, efficiency, attention to detail, and follow through; excellent written communication skills, including writing, editing, and proofreading official business documents; strong oral communication skills; polished and professional interpersonal skills to interact and effectively deal with Board members, Museum VIPs, Museum and University staff and students at all levels and of diverse backgrounds, outside vendors, and colleagues at other institutions; high degree of proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
