Bookkeeper

Reports to: Executive Director of LLGAF/Museum Director

Employment status: part-time (approximately 16 hrs/week, no benefits)

Salary: Based upon experience

The Bookkeeper for the Leslie Lohman Gay Art Foundation Inc. is the individual charged with processing the weekly payables and receivables on behalf of the organization.  In addition, the position assists in preparing annual cash flows, budgets and providing staff assistance to the Director in the preparation of the annual audit.

About the Leslie Lohman Museum of Gay and Lesbian Art

The Leslie Lohman Museum of Gay and Lesbian Art, which is operated by the LLGAF, is the first dedicated LGBTQ art museum in the world with a mission to exhibit and preserve LGBTQ art, and foster the artists who create it. The LLGAF, a non-profit founded in 1987 by Charles W. Leslie and Fritz Lohman who have supported LGBTQ artists for over 30 years, is a non-profit organization and is exempt from taxation under section 501(c)3 of the IRS Code.
In the Main Gallery, the calendar of events includes 6-8 major exhibitions a year, film screenings, plays, poetry readings, artist and curator talks, and panel discussions. Other galleries include the Wooster St. Window Gallery, a street-facing gallery featuring work by contemporary, emerging and under-represented LGBTQ artists who address issues of gender, identity, sex and pop culture; and the Prince St. Project Space which hosts the Leslie Lohman Studio and other smaller exhibitions.

The Museum has a collection of over 50,000 works, and an artist archive that contains information on over 3,000 LGBTQ artists—both those represented in the collection and others of interest to LGBTQ audiences.

Requirements

Specific Duties and Responsibilities

  • Thoroughly know LLGAF, its collections, history, culture, operations and constituents
  • Process and record all payables and receivables on a timely basis, maintaining logical and clear files of the records
  • Ensure compliance with the Foundation’s Financial Management Policy
  • Prepare, oversee and update chart of accounts on QuickBooks
  • Enter donations as received
  • Enter sales as they occur
  • Maintain files on the Foundation’s bank accounts
  • Provide cashier assistance as needed for events
  • Print checks for signature
  • Reconcile account statements
  • Make bank deposits
  • Prepare cash flow statements
  • Prepare draft budgets
  • Prepare YTD against Budget on a quarterly basis
  • Assemble documents as requested by the auditors for annual audits
  • Prepare reports as requested by staff and board
  • Order supplies as needed
  • Other tasks as assigned

POSITION REQUIREMENTS

The ideal candidate will have some or all of the following experiences, characteristics and attributes:

  • Bookkeeper should have at least 5 years of bookkeeping experience at a        similar sized organization, preferably non-profit.
  • Degree from a four year college.
  • The Bookkeeper should be organized, proactive, and flexible with excellent analytical, problem solving, communication and interpersonal skills and have the ability to work productively in a small office and collaborative environment.
  • Strong oral and written communication skills are important.  They should be able to establish and maintain effective working relations with staff, board, interns and donors.
  • They will have the capacity to multi-task, deal effectively with deadlines and handle change at a moment’s notice.
  • They must have the ability to work well with a variety of individuals and audiences, and must have the organizational skills necessary to manage a variety of responsibilities.
  • Must be expert level at Quickbooks: Premier Non-Profit Edition 2012.
