The Grant Writer position will report to the Director of Institutional Giving (DIG) and directly supports the Museum’s efforts to increase contributed support from foundations, government agencies, and other philanthropic organizations. Primary responsibilities include prospect research, preparation of original proposals and reports, and donor stewardship as detailed under the essential functions below.

Essential Functions

•  Draft and submit compelling grant proposals and letters of inquiry for general operating and some restricted project grants

to private and family foundations; local, state, and federal government agencies; and other philanthropic organizations.

Verify that proposals have been received and that appropriate follow-up has occurred.

  • Work with the finance department to prepare project budgets and financial reports that meet funder guidelines
  • Oversee all grant reporting; work cross-departmentally to collect statistical information as well as press, exhibition catalogues, images, and financial information to demonstrate impact of gifts; and develop comprehensive reports according to funder guidelines
  • Research funding prospects, review RFPs, and match funding sources to the Museum’s initiatives to build prospect pipeline and identify new funding opportunities
  • Steward existing foundation and government funders; craft timely, personalized acknowledgements and tax letters to funders for new pledges and grant payments
  • Maintain the grants calendar to ensure all deadlines are up-to-date and accurate
  • Work with project directors to ensure grant-funded projects are on-track and that obligations are fulfilled within the terms of the grant agreement. Prepare and submit formal project revisions to grantors as needed.
  • Maintain accurate and current donor records and activity reports in Raiser’s Edge, DMA electronic files, and hard copy files
  • Review and proofread materials as needed
  • Other duties as assigned

Knowledge, Skills, and Abilities

  • At least two years of grant writing experience, with an emphasis on proposal development, grant reporting, and donor relations required
  • Bachelor of Arts degree in Non-Profit Management, Museum Studies, English, Journalism, Communications, or a related field is preferred
  • Excellent verbal and written communication skills required; must be a skilled facilitator, well-organized, and capable of articulating institutional objectives to funders
  • Ability to understand budgets, endowment reports, and other basic financial documents
  • A track record of achieving financial goals and/or experience in a major development office and understanding of organizational philanthropy is preferred
  • Experience working in a fast-paced, results-oriented environment and demonstrated flexibility in meeting shifting demands and priorities is a must
  • A high degree of creativity, energy, and initiative is required
  • Ability to write in multiple formats to various audiences, clearly synthesize information and edit for spelling and grammar
  • Outstanding interpersonal/professional skills while working with Museum staff and donors
  • Must be able to effectively manage multiple projects, prioritize tasks, and meet strict deadlines
  • Superior attention to detail and organizational skills
  • Analytical and reasoning skills required
  • Proficient in Microsoft Office; experience using Raiser’s Edge preferred
