Administrative Officer
The List Visual Arts Center is the contemporary art museum at MIT and is world renowned for its exhibitions, educational programs and scholarly publications. In addition, the List Center is the steward of MIT’s 3500+ permanent art collection and commissions new works through the MIT Percent-for-Art program, a collection of more than 60 site-specific major artworks throughout the campus.
The Administrative Officer will oversee the financial, human resource, and operational aspects for the List Visual; Arts Center. In working closely with the Director, the Administrative Officer works in the areas of financial and daily operations, and long-range planning.
Comprehensive responsibility includes managing department administrative functions, such as – finance, budget, grants management, human resource, and building operations. Will provide counsel and wide-ranging support to director, curatorial, staff, advisory committee and visitors regarding operations and other policy matters; identify and seek solutions for all administrative problems; identify multiple sources of funding and manage the process of grant writing and final reports; develop budget and financial projections and advise on financial matters; create and manage contracts; maintain statistical data for financial, development, and strategic planning; interview, hire, train, supervise, and manage visitor service associates and volunteers; consult with MIT development officers as appropriate; oversee monitoring of all departmental accounts; facilitate effective communication across many levels of the program, the Institute, and with alumni; and perform other responsibilities as directed.
Bachelor’s degree or equivalent education and training in Museum Management, Business, Accounting, Public Service, or a related field.
Minimum of Five years leadership experience in non-profit environment, preferably at a university or a museum; excellent analytical, financial, and writing skills; demonstrated organizational skills and ability to manage changing and conflicting priorities; outstanding leadership, supervisory, interpersonal, and communication skills; tact, discretion, and ability to handle sensitive and confidential matters; advanced knowledge of databases, spreadsheets, and accounting principles. Experience recruiting, managing, supervising, and evaluating staff and volunteers. MIT experience and knowledge of its financial, human resources, and operational systems highly desirable. Strong nonprofit financial skills including budget development, forecasting and analysis; accounting procedures, coordinating audit activities and managing reporting. Must be able to develop and implement program policies and procedures, and manage multiple projects simultaneously. Knowledge Fashion GPS and Excel a strong plus.Knowledge of SAP, Advance and other MIT systems a strong plus. An equivalent combination of education and experience will be considered.
