Description

The Moody Center for the Arts is an interdiciplinary art center currently under construction on the campus of Rice University in Houston. Designed by Michael Maltzan Architects, it will feature art exhibition space, a black box theater, fabrication workshops, studio classrooms and a cafe.

The Chief Operating Officer will oversee the building, operations, and administration of the Moody and will work closely with the Executive Director to ensure the safe and efficient management of all aspects of the building and its programs. Key responsibilities include oversight and management of the building, security, budget and finance, project staff and café. The successful candidate will play a critical role in opening the new Moody building, shaping its policies and procedures going forward, and setting high standards for integrity, productivity, professionalism, creativity and cooperation in the workplace.

Building and Operations

This position will establish the policies and procedures for operating the Moody Center for the Arts. Tasks include, but are not limited to the following:

  • The safe and efficient operation of the physical plant of the Moody, ensuring all systems in the building such as HVAC, IT and security are regularly monitored, maintained and upgraded
  • Works closely with Rice’s department of Facilities, Engineering and Planning on ongoing interior and exterior maintenance
  • Bids, executes and maintains service contracts with outside vendors
  • Coordinates the Rice janitorial and landscaping staff
  • Responsible for security in the building, including the safety of both people and art. Manages key-card access for students, faculty and staff. Works closely with the Rice University Police Department to maintain and monitor security systems.
  • Works with Rice Risk Management to ensure the Moody building and projects are fully insured and that proper protocols for fire and safety are followed. If any issue arises, this position will be the first respondent and will be on call during emergencies
  • Drafts and updates Emergency Procedures for the building. Maintains disaster preparedness plan and notifications lists. Schedules and runs fire and other safety drills, as needed
  • Responsible for Moody compliance with all Rice policies and regulations, including fire, safety and HR policies
  • Organizes and maintains the Building’s master schedule. This includes classes, to be coordinated with the registrar, exhibitions, performances and the use of conference rooms and flexible spaces
  • Manages the Moody Café, including executing contracts with outside vendors, managing ongoing relationships with vendors and café staff, and overseeing purchasing, where applicable
  • Responsible for inventory in the building, including ordering supplies for computers, copiers, printers, plotters and replacement parts. Responsible for all procurement of goods, services and equipment
  • Proactively troubleshoots to ensure strong planning and execution of operational and administrative issues

Budget

  • Together with the Executive Director, develops and implements the Moody’s annual budget. Also oversees individual budgets for specific projects. Will track revenues and expenses to ensure all programs and operations are within budget
  • Will create pro-forma budgets for future projects and conduct budgetary analyses, as needed
  • Responsible for paying all Moody invoices, both internal and external

Staffing

  • Responsible for hiring and managing the Department Coordinator
  • Hires and manages all temporary workers, including art handlers, art preparators, audio engineers, projectionists, ushers, and any other staff relating to exhibitions and performances at the Moody
  • Designs and oversees the Moody’s student intern program, including gallery docents, student curators, tech issue staff, and tech assistants for the workshops
  • Ensures compliance with Rice human resource policies for all Moody employees
  • Works with Rice’s office of international services to ensure visas and work permits for international artists
  • Manages all staff relating to the Café, according to vendor agreements
Requirements
  • A Bachelor of Arts degree, Master’s in Business Administration or other applicable discipline preferred
  • 3-5 years experience in operations in either a for-profit or non-profit setting
  • Strong analytic skills for budgeting and analysis
  • Ability to work independently, yet coordinate successfully with a wide range of faculty, staff, students and visitors
  • Excellent management and communication skills, with a high degree of attention to detail
  • Ability to creatively and proactively problem solve, and to be flexible in the face of an evolving building and program
  • A desire to work as part of a collaborative team in a dynamic, start-up environment
  • An interest in and appreciation for the arts is desirable
