Teacher Institute Assistant

Peabody Essex Museum is seeking an energetic Institute Assistant on a temporary basis (early June through mid-August) to play an integral role in organizing the 2016 New England Arts Literacy (NEAL) Institute and 2016 PEM Teacher Institute. Working under the direction of PEM’s Connected Learning staff the Assistant will provide logistical support for both events and coordinate on-site needs on behalf of PEM. This role requires carefully managing and tracking the separate but overlapping administrative details of the two programs, taking place in close succession.

Key responsibilities include collecting and organizing electronic and print documents and other materials for use in institute binders and during workshops; work with local printing company to produce materials; assemble binders and welcome bags; create and organize nametags; purchase, track, prepare and clean up art supplies for workshops; work with PEM staff on catering, floor plans, schedules and other logistical coordination for all sessions. The Assistant is also responsible for daily teacher sign-in and attendance, setup and clean-up, as well as serve as the primary contact for troubleshooting and general questions from teachers and staff. Travel between Salem and Andover as necessary before and immediately after the NEAL Institute. Travel with the PEM Institute to Appledore Island, organizing various logistics of the daytrip. Track expenses for each Institute and help prepare invoices. Assist with other follow-up tasks, such as assignment tracking, compiling of online resources, and communications with participants.

Qualifications:
Exceptional organizational skills with a keen ability to monitor and keep track of all program details, prioritize tasks, work under pressure and multitask. Relevant experience with office administration, event management, and/or running educational programming is required. Also required is the ability to both collaborate and work independently, and to communicate effectively across museum departments, partner schools and organizations, and with outside vendors. Superb interpersonal skills, flexibility, positive attitude and passion for the power of creative experiences are essential. Computer skills, including Microsoft Office and experience with internet research are required. For day trip to Appledore Island, the Assistant should be comfortable with extensive walking on rocky terrain, boat rides and variable weather. Must be available July 10-15 and July 25-29. This position also requires reliable transportation and the ability to lift 25 pounds.
