Description:
Through superior internal and external customer service, the office coordinator/receptionist provides on-site support at the Haverhill facility and remote support of other regional locations to ensure smooth daily operations within and among Historic New England offices. Attends to institution-wide telephone inquiries, in-person visitors to the Haverhill facility, and via electronic access visitors to Otis House. The office coordinator/ receptionist works flexibly to adjust to a dynamic work environment as Historic New England expands its regional presence, resulting in evolving coordination needs.

Presents a professional, welcoming first contact to all visitors and telephone callers. Directs callers to staff and resources throughout the organization. Coordinates with teams to update and maintain the organization-wide calendar. Keeps all Haverhill office equipment maintained, and maintains common spaces for appearance and functionality. Manages inventory and ordering of office supplies, researches best pricing for supplies. Manages incoming and outgoing mail, and shipping and receiving for Haverhill facility. Prints website credit card receipts, researches details of transactions and processes sales through our retail system and export to accounting software. Processes daily credit card transactions and membership deposits. Assist with weekly mailing of vendor payments. Provides customer service support to Membership Team. Provides support in fulfilling information requests from prospects and members. Assists with the monthly membership renewal mailings. Supports human resources as directed.

Qualifications:
High school diploma or equivalent education and two or more years of job-related experience. Exceptional customer service skills, preferably working in a multi-site organization. Strong verbal and written communication skills, friendly and efficient telephone manner, professional personal presentation, and personal initiative. Strong attention to detail, excellent organizational skills, and flexibility to adjust to a dynamic work environment. Able to work independently and as part of a team. Requires fully competent computer and technical skills including skilled use of Microsoft Office suite including Word and Excel spreadsheet functions.

The position is a full-time (35 hours per week) and will be based at our Haverhill Facility, Haverhill MA
