Description

The Columbus Museum of Art is seeking a precise and highly organized Associate Registrar with excellent communication and relationship management skills.   As part of our collaborative registration team, the Associate Registrar will manage registration functions related to loans and exhibitions and will help oversee logistics and coordination of major museum projects and exhibitions planning.

This is a unique opportunity for an experienced registrar to work with the collections and exhibitions of a leading art museum, will manage registration aspects of the museum’s exhibition program, including on-site/touring, and national/international exhibitions, including those organized by CMA, those co-organized by CMA and partners, and those in which CMA is a venue.  This position will develop and maintain standardized exhibition planning documents, and processes facilitate overall planning, coordination and logistics of major museum projects and exhibitions and, working in concert with the Executive Deputy of Operations and Chief Registrar, will coordinate loan activity, both outgoing from the permanent collection.

Requirements
  • Manage all logistics and documentation for incoming/outgoing loans, in-house traveling exhibitions, and touring exhibitions.
  • Oversee installation and de-installation of exhibitions.
  • Generate the Museum’s standard facility report and review facility reports of prospective loan venues.
  • Coordinate with outside shipping companies, freight forwarders, customs brokers and lending institution/organizer to arrange shipping.  Coordinates courier schedules, booking flights and hotels, and other necessary arrangements for couriers that accompany loans/exhibitions.
  • Develop all contracts, payments, insurance and customs arrangements, shipping, storage, and facility reporting for temporary exhibitions and prepare loan papers for exhibitions.
  • Coordinate Handling, numbering, packing, condition reporting, and assist the preparation staff.
  • Prepare/negotiate loan agreements for all exhibition and permanent collection loans.
  • Oversee photographic documentation of all temporary exhibitions.
  • Organize and maintain the internal exhibitions schedule.
  • Assist in development and maintenance of standardized exhibition planning documents and processes.
  • Organize scheduling of staging area use and the management of the crate reuse program.
  • Accomplish condition reporting for objects that enter and leave the museum in association with temporary exhibitions.
  • Coordinate the safe and secure installation of objects associated with the temporary exhibitions.
  • Assist the curator in charge of an exhibition, insuring that all materials such as publicity packets, exhibition labels and photographs arrive at the museum in a timely manner.

Must have a strong command of American Alliance of Museums (AAM) standards and best practices for collections management.  Must understand the exhibition development process.  Must be able to perform tasks in a professional basis and with discretion when working with confidential records.  Have command of Microsoft Office programs, Filemaker, and other collections management data bases), EmbARK knowledge a plus.  Must be willing to travel nationally and internationally to courier works of art.  A valid driver’s license and current passport are required.

The Associate Registrar must be detail-oriented and able to manage multiple projects simultaneously.  Must have demonstrated visual acuity for object inspection and reading fine print.  Must have physical dexterity for working with cumbersome or fragile materials and able to follow safe work practices.  Must be able to adapt and be flexible in an environment where creativity is important.  Must have proven ability to select and manage staff, assign tasks, schedule work, follow-up, and evaluate.  Must have a clear understanding of the needs of the diverse Museum audience.  Must have knowledge of budgetary procedures and ability to learn CMA accounting and financial processes and procedures.
