The Associate Gift Registrar performs a variety of operational activities related to processing and receipting of charitable contributions to the Institution. As part of the Office of Advancement (OA), Gift Registration staff interacts with finance and development staff from 19 museums, 9 research centers and a variety of central administration offices.

This position is part of a team that is responsible for gift registration, recording and tax receipt generation. This position provides gift entry, fulfilling requests for gift documentation, preparing bank deposits, training unit staff, front line support pan- institutionally as it relates to all aspect of gift recording and completing ad hoc projects as assigned by the Gift Registrar.


Requirements

Successful candidates will demonstrate:

  • Knowledge of IRS charitable contribution regulations and CASE and NACUBO standards
  • Knowledge of donor database software (e.g., Advance, RE or Banner), accounting systems and Microsoft Office (specifically Excel spreadsheets and Word mail merges).
  • Experience in gift entry and knowledge of development gift accounting practices and how they relate to financial accounting practices especially in a large, complex, de-centralized non-profit organizations.
  • Ability to interact effectively with all types of people, including Smithsonian staff, corporation and foundation executives, volunteers, and influential members of the community.

The Office of Advancement oversees and guides the fundraising efforts of the entire Smithsonian and is home to the central advancement organization for the Institution. In addition to raising significant support for a variety of Smithsonian initiatives, the Office of Advancement provides support services to advancement offices across the Institution. The office engages with staff throughout the Smithsonian in accomplishing their goals.
