Position Title: Senior Registrar/Collections Manager
Position Number: 994152
Primary Purpose:
Manages all collection records including illustrated object history files, rights and reproductions, and cataloging of new acquisitions. Oversees incoming and outgoing loans maintaining all related records and coordinating logistics for art transportation regionally, nationally, and internationally Implements museum policies and
procedures encompassing acquisitions, loans, exhibitions, de-accessions, storage, packing and shipping, security of artworks in transit, fine art insurance administration, and risk management.
Ensures museum’s compliance with AAM best practices and other state and federal laws regarding the collection and incoming loans.
As an integral member of the Curatorial Department, plays a critical role in enhancing visitor experience and ensuring the safety and preservation of artwork at the museum.
Essential Job Functions:
1. Is responsible for and maintains accurate and complete visual and written documentation of all collection objects in both hard-copy object files and in museum’s database to document and track objects and to make database a rich repository of information.
2. Is responsible for and maintains an accurate and up- to-date visual and written inventory of the collection objects including those that are accessioned or de-accessioned in close collaboration with museum curators, exhibitions registrar, and assistant registrar.
3. Catalogues new acquisitions in collaboration with museum curators.
4. Manages and maintains all correspondence and logistics associated with incoming and outgoing loans, including loan agreements, loan records; insurance, shipments; couriers, and maintains written records of all loans and their condition reports.
5. Develops and implements an object photography project to add images to all object records and database.
6. Is responsible for proper packing, unpacking, and shipping for all incoming and outgoing objects, and for establishing schedule for and overseeing packing and unpacking of all incoming and outgoing objects.
7. Monitors object storage areas (on- and off-site) and exhibition spaces for temperature/ humidity, environmental hazards, safety, cleanliness, and ongoing maintenance concerns, and maintains an ongoing and accurate record of location of all objects in collection and exhibitions and makes this information readily available to curatorial staff.
8. Maintains and regularly updates the museum’s facilities report.
9. Evaluates, updates, and implements the museum’s disaster plan and collection management policy.
10. Coordinates the museum’s fine arts insurance coverage and risk management.
11. Monitors and coordinates with museum and university physical plant staff and contract conservators to address any problems.
12. Handles in-coming and out-going requests for collection object information and images, including rights and reproduction requests.
13. Secures images and non-exclusive licenses for new acquisitions and for objects included in museum exhibition brochures, catalogues, publicity, advertising, and other needs specified by director, curators, and marketing manager.
14. Executes contracts for exhibitions with museums, art collections, artists, etc.
15. Coordinates all aspects of Collection Committee meetings in association with curators.
16. Works closely with exhibitions registrar, assistant registrar, work-study assistants, interns, and volunteers who are assigned registration duties.
17. Participates in regular departmental staff meetings as well as other interdepartmental meetings as directed.
18. Disseminates information as needed to other departments, researchers, and students.
19. Performs other duties as assigned.

Knowledge, Skills, Abilities:
1. Excellent project and people management skills.
2. High level of written and oral communication skills.
3. Accuracy and attention to details, excellent time management skills.
4. Ability to be flexible, communicative, and work collaboratively in a team environment.
5. Excellent knowledge of conservation/preservation practices.
6. Experience and knowledge of collections management software, ideally Mimsy and Crystal reports.
7. Knowledge of copyright law, fair use, and licensing in regards to the visual arts and reproductive practices.
8. Knowledge of museum standards and techniques for shipping art works.
9. Strong computer and database skills, including Microsoft Office suite.
10. Familiarity with social media tools and digital image management.
11. Thorough knowledge of best practices in conservation, insurance, object handling, and museum legal and ethical issues.
Required Education:
Bachelor’s Degree – Art, Art History, or related field or a museum studies/collection management degree
Required Experience:
Five (5) years’ experience in art museum registration and collections management or similar experience within the fine arts industry.
Preferred Qualifications:
Master’s degree or higher in art history and/or museum studies, collection management, or related field.
