JOB DESCRIPTION:

The CFO/COO is responsible for managing the Center’s financial and business affairs, strategic planning, human resources, building operations, visitor services,  information systems, security, and museum store. The CFO/COO is a member of the Executive Director’s senior management team, which includes the Deputy Director for Programs, the Dean of School, the Deputy Director for Exhibitions and Collection and Chief Curator, the Director of Marketing Communications, and the Senior Director of Development and Strategic Programming.

Job Requirements

RESPONSIBILITIES:

  • With the Executive Director, help lead the planning and overall management of the Center, including the efficient development and implementation of its temporary and long-term programs. Assist Executive Director with institutional strategic planning, and help lead planning for ICP’s program and supporting departments.
  • Oversee all financial planning, new business planning, budget production, and budget controls needed to realize the museum’s fiscal and business goals. Monitor and regularly report key metrics, including non-financial metrics such as attendance and enrollment, to staff and the Board. Provide business analysis support to the staff to help improve the effectiveness and efficiency of the Center’s businesses.
  • Oversee external reporting and prepare financial reports and analysis for the Executive Director, Finance Committee, Audit Committee, and Board of Trustees; supported by the Controller (in this as well as all following financial management responsibilities). Staff the relevant Board Committees (such as Finance, Audit, Facilities, and Planning) and work with the committee chairs and the Executive Director to set committee agendas and manage the work of the Committees.
  • Ensure that the computerized financial managment system, chart of accounts, and internal control systems are properly designed and maintained; and provide meaningful and timely information. Ensure that the key transaction systems (including school registration, fundraising and membership, store sales, museum admissions, and event ticketing) are efficiently and fully implemented, the department staff managing and utilizing these systems are profficient in their use, and that the data is regularly reconciled to the general ledger.
  • Oversee treasury management; monitor investment manager performance,  manage invesment policies and procedures, and prepare monthly and quarterly reports to the Board’s Finance Committee.
  • Negotiate or consult on all major transactions, review all contracts, and manage all legal affairs for the museum and relationships with outside counselors; supported by the Legal Counsel.
  • Oversee human resource programs, policies, procedures, and compensation administration; supported by the Director of Human Resources.
  • Oversee physical plant management, visitor services, and security, supported by the Manager of Visitor Services and Building Operations.
  • Oversee major renovations and creation of new facilities including needs assessment, design development, budgeting and controls, and general project management.
  • Oversee management of the Museum Store, supported by the Manager of Retail Operations.
  • Maintain contacts with peers in the museum field to keep abreast of best practices and current issues, and bring this information into the Center.
  • Attend all meetings of the Board of Trustees and its Executive Committee, and manage the agendas, meetings, and communications for the Finance Committee, the Compensation Subcommittee, the Audit Committee, and other committees that may be formed and assigned.
  • Supervise the Controller (who is supported by four accounting staff), the Director of Visitor Services and Building Operations (who manages all maintenance, reception, and security staff), the Director of Information Technology, the Director of Human Resources, the Legal Counsel, and the Manager of Retail Operations.
