General Description:
The incumbent is responsible for comprehensively coordinating the administrative support for Academic Programs, and planning and executing the Fellows’ Spring Colloquia and yearly schedule of Fellowship events. Reporting to the Managing Museum Educator for Academic Programs the individual coordinates the content for website and print materials, advertising, and program evaluations. The individual is also responsible for the budgeting, scheduling and facilitation of International Professional Staff Exchange Programs along with other specialized projects. In this role, s/he collaborates closely with Education program staff, curatorial, conservation and scientific research staff to ensure high quality professional program opportunities and offerings for the Fellows.
Primary Responsibilities and Duties:
- Coordinate the planning and execution of year round Fellowship program activities. These activities include orientation, and talks and exhibition tours with members of the professional staff
- Plan, produce and implement the Fellows’ Spring Colloquia.
- Coordinate Fellow’s arrival in the museum, including guidance with non-resident alien tax compliance system and visa information. Prepare the annual IRS 990 form for Finance Office
- Plan the Hermitage Museum and Kremlin Museum staff exchange programs’ participants travel, including initial contact with Russian visitors; arrangement of airfare/hotels and scheduling of meetings at MMA and other institutions. Coordinate the MMA’s staff participants travel on the Hermitage and Kremlin Museum Exchange Programs.
- Coordinate the Academic Program Division’s evaluations
- Coordinate the content for website and print materials; marketing for programs
- Oversee digital photographic images and archiving
- Provide back-up support for processing incoming fellowship and internship applications, preparation and dissemination of financial grids and applicant information for the Grants Committee.
- Support the Teaching Corps Internship Program, primarily during the spring training series on Friday afternoons (mid-April through June).

Requirements and Qualifications:
Experience and Skills:
- Excellent communication skills and interpersonal skills
- Knowledge of Microsoft Office Software (MS Access, Excel, PowerPoint, Word, and Outlook required)
- Excellent organizational skills and attention to detail required
- Ability to be flexible and to multitask required as is ability to take initiative
Knowledge and Education:
- Bachelor’s degree required; masters’ degree preferred
- Background in Art History preferred
- Knowledge of foreign languages preferred
