Reporting to the Director of Collections and Exhibitions, this administrative position helps oversee logistics of exhibition planning and production at the Blanton Museum of Art.  The Exhibitions Manager works closely with museum leadership and other departments to develop an exhibition program that aligns with the Blanton’s mission and brand. Working in concert with other staff, this position ensures that exhibitions and permanent collection installations are coordinated and implemented according to internal processes and professional standards. A commitment to teamwork and collaboration are essential to success in this position.

This position is responsible for duties of a highly sensitive and confidential nature, and is one that works directly with lenders, borrowers, and director of museum as needed to implement various types of logistics as they relate to the areas below:

Essential Functions:

Facilitate the process of planning the museum’s exhibition program, working in concert with the Director of Collections and Exhibitions and other senior staff.

Manage the exhibition proposal review process, helping to identify and negotiate exhibition opportunities.

Coordinate exhibitions committee meetings, including scheduling, preparing agendas and planning documents, and recording and archiving minutes.

Develop dates and all deadlines for exhibition and permanent collection rotations for checklists, floor plans, labels, text, graphics, and other design elements, and for all interactive materials.

Maintain the master exhibition calendar, determining dates with cross-departmental input and communicating updates and exhibition information to staff and faculty.

Help develop and maintain standardized exhibition planning documents and processes. Work closely with curatorial staff to create production schedules and monitor deadlines.

Draft, negotiate, and process exhibition-related contracts, coordinating internal reviews and working with the Director of Finance and Administration to secure university approvals.

Market and manage Blanton touring exhibitions, working closely with curators to prepare prospectuses and secure venues. Deliver exhibition materials and catalogs to venues and serve as their main staff contact.

Schedule and complete follow up contact with other institutions regarding exhibition proposals sent by and/or to them.

Help maintain an overview of aggregate exhibition expenditures, coordinating periodic budget review meetings as needed. Create budget projections for future planning purposes.  Track budget expenses for each exhibition.  Invoice outside

institutions and track payments as needed.

Oversee exhibition archives and internal and external post-exhibition reports.

Coordinate with curatorial, installation, graphic design, and PR and marketing staff to achieve a unified visual identity for each exhibition throughout marketing materials and the gallery experience.

Coordinate cross-departmentally to ensure consistency of house style and design format in museum labels, wall texts, and gallery signage.

Coordinate completion of floor plans, and other design elements, for distribution, review and approval by appropriate staff.

Route labels and other didactics for review, editing and approval by established deadlines.

Monitor exhibition credit lines and checklists to ensure most updated are available to all staff as needed.

Coordinate meetings and other activities with outside contractors for exhibitions as needed.

Adhere to museum policies and support management decisions in a positive, professional manner.

Contribute positive support to the Collections and Exhibitions team and work collaboratively, communicating with other departments

Maintain confidentiality within and outside of the museum.

Other duties as assigned by Director of Collections and Exhibitions.

 

 

Required Qualifications:

Bachelors degree.

Knowledge of art history.

Three years of work experience in an exhibitions management and/or curatorial capacity. Equivalent combination of relevant education and experience may be substituted as appropriate.

Skilled administrator capable of working collaboratively with others and facilitating cross-departmental coordination.

Strong analytical and problem-solving skills, and the ability to think strategically about institutional mission, goals, and priorities.

Excellent organizational skills and a close attention to detail.

Technical proficiency in Microsoft Office suite.

Knowledge of museum standards and practices for exhibition management, general knowledge of art handling, shipping and collections care.

Knowledge of computerized collection management systems, such as Embark.

Ability to represent the museum with a high level of integrity and professionalism.

Maintains a professional and businesslike appearance and demeanor.

Ability to work with internal and external museum professionals, vendors, the public, professionally and respectfully.

Ability to be flexible and embrace changes within this position due to departmental priorities and/or for cross-training purposes.

Able to manage multiple projects within an ever-changing and fast-paced environment.

Preferred Qualifications:

Master’s degree in Art History or related field.

Art museum experience in exhibition management or curatorial capacity.
