Education Programs Associate

Education Programs Associate offers administrative support to the Academic
Programs area, in particular, to the College and Graduate Student Internship
Program. This position also provides administrative support 2 days a week
to the division of School and Teacher Programs, with the exception of a two
month period when the internship program is at its’ highest level of
activity. The incumbent supports the Observant Eye program, Teaching Corps
Internship and serves as back-up for other administrative staff.
Primary Responsibilities and Duties:
* Process and assist in review of online internship applications; coordinate
interviews for prospective interns; mail acceptance/rejection letters;
process and maintain paperwork for I.D.s, project plans, evaluations, etc.
* Prepare contract letters/agreements for paid and unpaid interns; assist
with Visa and Social Security card processes for foreign paid interns;
process requests for payment and track expenses for interns and contractual
lecturers
* Assist Educator with planning and implementation of summer internship
orientation, receptions and other events throughout the year
* Maintain internship section of the website; coordinate program information
for publications, online calendar, and other future venues as it pertains to
Internships and Academic Programs in general
* Support other areas of Academic Programs and School and Teacher Programs
by administering, registration, scheduling, collaborating with other
departments in the museum and outside constituencies. Prepare readings and
handouts for training sessions and workshops, coordinate logistics; enter
events/resources into EMS and Vista scheduling systems, including Intern
tours and teacher workshops; compile and report overall statistics
* Create/maintain college mailing list and database of internship
applicants; establish alumni network; coordinate/collaborate with the
College Group at the Museum; coordinate marketing efforts and other means of
communication such as web postings, and email blasts
* Other related duties
Experience and Skills:
* Excellent communication and interpersonal skills required
* Attention to detail required; excellent organizational and typing skills
preferred
* Ability to be flexible and to multitask preferred as is ability to take
initiative
Knowledge and Education:
* B.A. required, interest in art history preferred
* Knowledge of Microsoft Office Software (MS Access, Excel, PowerPoint,
Word, and Outlook required)
* Knowledge of EMS and Vista scheduling systems preferred as is knowledge of
Wufoo and other online tools
