The John & Mable Ringling Museum of Art, in its affiliation with Florida State University, is one of the largest museum/university complexes in the nation. Located on an impressive 66-acre Sarasota bay front estate, it preserves the legacy of John and Mable Ringling, educating and enabling a large and diverse audience to experience and take delight in a world-renowned collection of fine art and special exhibitions; Ca d’Zan, the Ringling historic mansion; the Circus Museums; the Tibbals Learning Center; the Historic Asolo Theater; and historic architecture, courtyard, gardens and grounds overlooking the Sarasota Bay. An Education Building houses our library, conservation facility, classrooms, and staff offices. The Visitors Pavilion serves some 350,000 guests annually.
Responsibilities
Maintains, implements, and updates policies and procedures that ensure the integrity and security of the collections database (TMS), as well as adherence of data standards and effective searching and reporting of information.
Serves as member of institution-wide team for implementation and maintenance of the Digital Asset Management system.
Trains staff in all database searching and reporting functions. Reviews, monitors, and trains users in lexicon and controlled vocabulary data entry and cleanup. Maintains user accounts, passwords, and security controls. Serves as liaison with staff and vendors for all user interface issues.
Uses Crystal Reports to modify existing reports and develop new reports.
Facilitates database new releases and upgrades with IT staff. Recommends and oversees database policies and procedures, establishes and supervises data input standards, and creates/maintains a user manual.
Registrarial duties include: Collections inventory, responding to collections inquiries, preparation of records for public access, assisting with interns and fellows, and assisting in digitization of collection. Assists with the development of registrar files on collection objects and may assist with exhibition installation/deinstallation. May assist with shipping or receiving object loans.
May be required to travel (nationally or internationally) to serve as a Museum courier. Assignments are based on the needs of the Museum. Courier training and certification is required prior to the incumbent serving in this capacity.
Anticipated Salary Range:
$35,000-$40,000/year + Florida State benefits available. Salary commensurate with experience.
Schedule:
Typical schedule is Monday through Friday 8:00am-5:00pm. Occasional evenings and weekends may be required to meet the needs of the museum.
Pay Plan:
This is an A&P (Administrative and Professional) position.

Job Requirements
Bachelor’s degree in library/information science, Art History, Administration, Museum Studies, or a related field and three years of experience related to the job duties. (Note: Higher in-field education may substitute for experience at the equivalent rate.)
Experience with databases, related report writing, and lexicon building and organization.
Advanced skill in database management including: data architecture, metadata standards, imaging, and digital asset management.
Experience with The Museum System (TMS) or similar database, and Crystal reports.
A valid Florida driver’s license, or the ability to obtain prior to hire.
This position requires successful completion of a criminal history background check to include fingerprinting.
