The Development Associate manages operations in the Development Office and works with the Development Director to coordinate the communications and public relations activities for the organization and also coordinates special events in the Old State House (including site rentals to third parties and elsewhere.)Areas of Responsibility:
Development: The incumbent plays a key role in the support of the Society’s Development Office by maintaining orderly, routine functioning of its operations, maintaining records, organizing materials, preparing correspondence and acknowledgments, and conducting research. Responsibilities in this area include:
· Processing fundraising records, and ensuring the timely flow of financial documents (such as checks and credit card receipts) to the Finance Department;
· Managing all membership materials for the Society’s friends program of contributors and its Leadership Circle of major donors;
· Maintaining the development database (in Salesforce), and providing information as requested by the Executive Director, Development Director, or other staff or board members;
· Coordinating and ensuring the timely dispatch of acknowledgments of donors’ gifts to the Society and all other donor correspondence;
· Researching prospects, and helping to prepare grant proposals and reports, as assigned;
· Handling the logistics of all direct mail appeals, and ensuring the accuracy of mailing lists; and
· Other duties as assigned.
Communications: The incumbent, working with the Director of Development, is responsible for coordinating the Society’s communications with its various audiences and constituents. Responsibilities in this area include:
· Serving as a the Society’s point person for media inquiries;
· Working with staff members and consultants on public relations projects, including the preparation and issuance of press releases and promotional or informational material;
· Working with the Archivist to update the content of the Bostonian Society’s website;
· Serving as a member of the in-house Communications Committee;
· Gathering content, editing, producing, and ensuring the timely issuance of the Society’s monthly e-newsletter, The Exchange;
· Managing the Society’s social media outlets (Facebook, Twitter, and Instagram)
· Working with designated History Department staff to ensure seamless and timely Society-wide communications; and
· Collaborating with the Director of Public History, as well as with outside contributors, designers, printers, and other staff members on the preparation of the Society’s magazine, Proceedings of the Bostonian Society.
Events: The incumbent is the point person for all Bostonian Society internal events (including donor cultivation events, board meetings, and presentations at staff meeting), as well as all events involving rentals of the Old State House to third parties. This includes overall responsibility before, during, and after the events. This responsibility entails some evening, weekend, holiday, and early morning work. Specific responsibilities in this area include:
· In consultation with the Development Director, taking the lead in planning and implementing the Society’s cultivation events, including board friends and colleagues evenings, joint events organized with the History Department, and the Members’ Holiday Open House;
· Serving as lead logistics manager for all Bostonian Society internal events;
· Coordinating all filming requests;
· Managing all contracted rental usage of the Old State House, including the coordination of details for internal staffing, catering, and entertainment, and liaison with rental clients, as required; and
· Working with the Preservation and Facilities Manager in all cases, to ensure the highest levels of preservation and security in the building.

Qualifications:
The work of this position takes place primarily in a normal office environment, although the incumbent must also possess the ability to work and carry supplies up stairs in a three-story historic structure that does not have elevators. Responsibilities ordinarily require:
· One or more years of experience in the non-profit sector;
· A BA degree or equivalent experience. Interest in fundraising, American history, or museums is an asset;
· Excellent skills in written and oral communications;
· Familiarity with Microsoft Excel, Word, and database software;
· Attention to detail;
· Discretion with sensitive information; and
· An ability to project a positive, professional attitude.

The Bostonian Society’s mission is to study and preserve Boston’s uniquely important history, embodied in materials, records, and structures such as the Old State House, and to share an understanding of the revolutionary ideas born here. The Bostonian Society was founded in 1881 to rally support for saving the Old State House. Today it is Boston’s historical society, and remains the stewards of the Old State House.
