The Senior Project Manager in the office of the Museum’s Associate Director for Collections organizes, co-ordinates, and supports essential functions around the Museum’s art collections and their development including acquisitions, incoming and outgoing loans, and related curatorial activities. In a fast-paced environment, the work involves extensive communications, advising, and coordination among curators, conservators, registrars and the offices of the Museum Director and the General Counsel. Under the pressure of tight deadlines, it requires the flexibility to undertake projects at various levels of completion and the skill to communicate effectively with project stakeholders, management, and other relevant parties. The individual may plan, assign, and/or supervise the work of others.

Major Job Responsibilities:

  • Manage and co-ordinate the art acquisition process for the Museum on behalf of the Associate Director for Collections, working closely with the curators, conservators, registrar, General Counsel, Museum Director and Trust President’s offices. Manage procurement process for acquisitions and assists in tracking art acquisitions budgets.
  • Manage outgoing and incoming art loan requests with registrars, curators, conservators and Director’s Office to ensure that loan requests are  acknowledged and processed in a timely manner.
  • Organize, co-ordinate, and edit complex reports for the Museum Director, Trust Administration, Board, and others regarding Museum collections-related activity
  • Co-ordinate the Museum Guest Scholar program, organizing the selection process, logistics, and events
  • Act as a resource for the curators and other Museum departments regarding acquisition, loan, and donation policy and also on scholar housing, and any issues related to the Museum’s permanent collections.
  • Works closely with Museum and Trust staff to ensure all appropriate policy and procedures are followed. Compiles and distributes project information, status reports and budget expenditures on regular and as-needed basis.

The successful candidate will be a detailed-oriented individual with problem-solving skills. He/she will display the adaptability to respond to rapidly changing deadlines and priorities along with the discretion to deal with highly sensitive business and materials. The individual will be a good writer and editor and enjoy dealing with a diverse body of talented professionals who share a strong commitment to the mission of the Museum.

Knowledge, Skills and Abilities:

  • Knowledge of European art history preferred,

  • Microsoft Office suite including Word, Excel and Power Point

  • Strong written and oral communication skills and experience with budget management

  • Skills in project management, especially in addressing changes in scope or timing, and in operating computers and applicable software – experience with Peoplesoft and TMS, preferred

  • Ability to manage project activities; to establish project goals and objectives; to exercise sound judgment in making critical decisions; to analyze complex information and develop plans to address identified issues; to demonstrate negotiation and facilitation skills; to identify project risks and gaps; to prepare reports; to communicate effectively; and to plan, assign, and/or supervise the work of others

Job Requirements

  • Bachelor’s degree; Master’s degree preferred
  • 5-8 years of project/process management and subject area experience, preferably in an art-related organization
  • Relevant foreign language knowledge preferred for academic-based projects
